The Quality Project Coordinator supports the execution of quality improvement initiatives by managing project coordination, operational workflows, and administrative functions across the Quality department. This role ensures that projects run efficiently by handling logistics, documentation, tracking, and coordination across teams. This position also centralizes administrative responsibilities previously distributed across multiple roles, improving efficiency and allowing analysts and leaders to focus on strategic work.
This is not a remote position and will require to work in the office in Coral Gables.
Key Responsibilities- Coordinate timelines, deliverables, and milestones for quality initiatives (HEDIS, QIPs, Stars).
- Maintain project trackers, logs, and status reports.
- Follow up with internal teams and vendors on action items to ensure timely completion.
- Support preparation of QIC and committee materials.
- Identify potential delays or barriers and escalates issues appropriately.
- Maintain and organize quality documentation and files.
- Manage intake, tracking, and organization of medical records.
- Perform scanning, indexing, and document management activities.
- Ensure proper storage and retrieval of records in compliance with HIPAA.
- Assist with medical record retrieval coordination and tracking.
- Support outreach scheduling and logistics (providers/members).
- Maintain provider contact databases and outreach logs.
- Assist with audit preparation and documentation collection.
- Compile reports, meeting materials, and presentations.
- Document meeting minutes, decisions, and action items.
- Maintain policies, procedures, and version control.
- Ensure accuracy, completeness, and consistency of documentation.
- Serve as liaison between Quality, Provider Relations, Pharmacy, and vendors.
- Ensure smooth communication and follow-through on operational tasks.
- Coordinate activities across departments to support project execution.
- Associate’s or Bachelor’s degree, preferred.
- 2+ years in healthcare administration, coordination, or quality support.
- 2+ years working for a Medicare Advantage or Medicaid health plan.
- Strong organizational and project coordination skills with the ability to manage multiple priorities, timelines, and deliverables simultaneously.
- Demonstrated ability to maintain project trackers, action logs, and status updates with a high level of accuracy and attention to detail.
- Experience coordinating across teams with the ability to follow up on deliverables and ensure accountability in a professional manner.
- Ability to identify workflow gaps, risks, or delays and proactively escalates issues.
- Skilled in supporting projects by facilitating communication, scheduling meetings, and documenting action items and outcomes.
- Ability to break down complex initiatives into manageable tasks and track progress through completion.
- Comfortable working with Excel-based trackers, shared documentation platforms, and project coordination tools.
- Demonstrated ability to adapt to shifting priorities and manage competing deadlines in a fast‑paced environment.
- Experience supporting process improvement efforts and identifying opportunities to streamline workflows.
- Experience with healthcare operations or quality programs preferred.
- Proficiency in Excel, Word, and tracking tools.
- Detail‑oriented with strong follow‑through.
