The Real Estate Legal Assistant provides high‑level administrative and legal support to real estate attorneys, ensuring efficient transaction management and smooth daily operations. This role requires strong organizational skills, attention to detail, knowledge of real estate procedures, and the ability to prioritize in a fast‑paced environment. This is an on‑site position in our Coral Gables office.

Key Responsibilities
  • Prepare and maintain client matter files, including engagement letters, conflict checks, and onboarding documentation
  • Draft, format, and proofread real estate documents such as contracts, leases, agreements, and correspondence
  • Coordinate real estate transactions by tracking critical deadlines, maintaining timelines, and calendaring key dates through closing
  • Manage electronic files and document management systems; profile and update documents and correspondence daily
  • Assist with billing tasks including check/wire requests, pre‑bills, invoice adjustments, and payment confirmations
  • Coordinate file transfers and support attorney onboarding and transitions
  • Serve as a liaison with clients and third parties, including CSC, for service of process and entity formations
  • Track compliance deadlines such as annual reports and FinCEN CTA Beneficial Ownership filings (as applicable)
  • Manage attorney calendars, schedule meetings (in‑person and virtual), and coordinate conference room usage
  • Handle incoming calls, mail, and emails with professionalism and discretion
  • Maintain active closing lists, pending matters, and related deadlines
  • Support attorney compliance needs, including Florida Bar licensing, CLE tracking, and memberships
Qualifications
  • Prior experience as a legal assistant, preferably in real estate or transactional law
  • Knowledge of real estate terminology and Florida procedures
  • Exceptional attention to detail, organization, and time‑management skills
  • Ability to multitask, problem‑solve, and meet deadlines in a fast‑paced environment
  • Proficiency with Microsoft Office and document management systems (e.g., Net Documents, AIM or similar)
  • Strong written and verbal communication skills
  • High level of professionalism, integrity, and confidentiality
