About the role:
We are seeking a highly organized and detail‑oriented Administrative Assistant to support the Finance and Data Department. The ideal candidate will be responsible for providing administrative and clerical support to ensure the smooth operation of the department, including handling financial documentation, data entry, scheduling, and communication tasks.
Duties and Responsibilities:- Provide administrative support to the Finance and Data teams, including calendar management, meeting coordination, and internal communications.
- Prepare and manage correspondence, reports, and financial documents.
- Assist with the preparation of financial reports, presentations, and budget tracking.
- Maintain and organize digital and physical filing systems for financial records and data‑related documents.
- Support data entry, data validation, and basic data analysis tasks.
- Process invoices, purchase orders, and expense reports in coordination with the Finance team.
- Liaise with other departments to ensure timely submission of financial and data‑related materials.
- Help coordinate audits and prepare necessary documentation.
- Track department KPIs, metrics, and maintain up‑to‑date records.
- Perform general office duties such as ordering supplies, filing, and responding to internal and external inquiries.
- Proven experience as an administrative assistant or in a similar role.
- High school diploma or equivalent required;
Associate’s or Bachelor’s degree in Business Administration, Finance, or a related field is preferred. - Strong knowledge of MS Office Suite (Word, Excel, Outlook, PowerPoint); familiarity with financial or data management software is a plus.
- Excellent organizational and time‑management skills.
- Strong verbal and written communication skills.
- Attention to detail and problem‑solving skills.
- Ability to handle confidential information with integrity.
- Ability to work independently and as a member of various teams and committees.
- Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm.
Education:
- Associate’s or Bachelor’s degree in Business Administration, Finance, or a related field is preferred.
- 1-3 years of Administrative Assistant experience in Corporate preferred.
