Swallowtail School is seeking a detail-oriented, organized Business Manager to join our administrative team.
Responsibilities include:
- Reporting and Planning
- Monitor use of all funds, including bookkeeping, accounting, and regulatory filings;
- Manage annual and long-term financial planning and budgeting for the school, in collaboration with Finance Committee and School Director;
- Prepare annual tuition and fee levels for Finance Committee and Board approval;
- Provide financial and planning support for fundraising events such as the annual auction, the Jog-a-Thon, and class fundraisers;
- Prepare and present financial reports and metrics to the School Director, Finance Committee, Board of Trustees and lending institutions;
- Collaborates with the School Director, Finance Committee, Development team to review endowment investments and develop associated reports; and
- Preparation of other reports pertaining to the school’s financial standing, as requested
- Record Keeping
- Ensure that financial records systems are maintained in accordance with generally accepted accounting principles and internal policies and procedures;
- Family Support
- Manage financial communications with families, including annual contracts, tuition assistance, delinquent accounts, etc.;
- Process Management
- Facilitate finance committee meetings;
- Manage school insurance policies and employee benefits programs;
- Manage cash flow effectively, monitor and maintain internal control structure;
- Manage all supplier contracts;
- Manage payroll service;
- Develop and implement employee leave tracking process;
- Participate in Tuition Assistance Committee in reviewing and approving applications for Tuition Assistance; and
- Manage enrollment contracts
- Ensure Tuition Assistance grants are properly recorded each year
- Establish and maintain process to bill families for fees, tuition, per agreed-upon schedule.
- Human Resources Support
- Ensure all new hire forms, including I-9, tax documents, are completed within employee’s first day.
- Complete all local, state, federal, accreditation agency, and insurance reporting requirements, as pertains to employee information;
- Support Workers’ Compensation claims and compliance; and
- Ensure employee files are up-to-date.
Required Trainings/Attributes:
- Experience in finance or accounting (experience in school or other non-profit administration preferred)
- Proficient in Quick Books, Excel, Google Workspace
- BA/BS in business, administration, finance, or a related field preferred.
- Mature and excellent judgment and sensitivity in managing responsibilities and relationships.
- Personable, positive personality with customer service mindset.
- Excellent written and oral communication and presentation skills

- Sensitivity, discretion, and ability to maintain confidentiality
- The desire and ability to work collaboratively with all members of the school community
