General Description
Responsible for providing optical services and administrative support at the Cornelius Eye Clinic+Eye Trends location. Bilingual – English and Spanish preferred.
Essential Functions / Major Responsibilities- Greet and provide optical assistance to patients and student interns, including frame selection, dispensing, adjusting, repairs, and responding to telephone inquiries with professional, positive customer service skills.
- Determine specific data for prescription orders, verify completeness of orders prepared by students, process orders based on third‑party payer requirements, track order status, and investigate and resolve delays.
- Maintain communications with patients while material orders are in process, notifying them of delays, informing them when orders are ready, and responding to optical‑related inquiries.
- Serve as a technical resource to interns, staff optometrists, and faculty regarding optical products and managed‑care coverage of materials, keeping current knowledge of industry developments through literature review and continuing education.
- Maintain patient confidentiality and follow HIPAA policy and procedures to protect patient medical and financial information.
- Process patient orders, including collection of fees, proper patient‑care documentation, posting payments, and updating and verifying information in the electronic health record (EHR).
- Co‑ordinate patient care activities with the reception office staff to ensure smooth operation.
- Collaborate with the Directors of Clinic, Director of Ophthalmic Services, Clinic Manager, Associate Dean of Clinical Programs, and administrative staff to continuously improve student education, increase revenues, improve operations, enhance customer service, and promote the optical center.
- Perform other related duties as assigned.
Performs duties independently with minimal supervision. Decisions are made within general university policy constraints and may occasionally require independent decision‑making. Errors could impact smooth and efficient optical/clinic operations.

Qualifications- High school diploma or equivalent.
- Three years practical experience in dispensing or documented completion of a one‑year or longer academic program in dispensing opticianry or optical technology with a dispensing emphasis.
- Must possess or obtain ABO Certification within one year of hire.
- Communicates with students, faculty, staff, and the public appropriately for the age of the individuals served.
- Applies basic learning across situations.
- Demonstrates critical thinking skills in problem‑solving and decision‑making.
- Asks questions and seeks assistance when needed.
- Identifies and eliminates sources of problems.
- Maintains confidentiality regarding information of students, faculty, and staff.
- Exhibits proper appearance and personal conduct appropriate to the job.
- Employs effective communication skills, including body language, filters, listening, paraphrasing, and questioning with customers of diverse ethnic and cultural backgrounds.
- Works well in a team environment and supports diversity among students, faculty, and staff.
- Exhibits excellent verbal and written communication skills and applies good judgment and a professional manner when interacting with all stakeholders.
- Demonstrates ability to adhere to good optometric practice guidelines.
- Shows professional appearance, high self‑motivation, and interest in optometry program development.
- Has strong word‑processing and database management skills; working knowledge of computers and standard office equipment.
- Complies with HIPAA rules and procedures as outlined in Pacific University College of Optometry Privacy Policies and Procedures Manual.
- Works independently and as part of a team.
- Respects the roles and challenges of staff, students, faculty, college administration, and other university community members.
- Is willing to travel to satellite Eye Trends optical locations as needed.
