* Serve as office manager as necessary. Monitor office procedures.
* Develop, evaluate, and ensure adherence to office procedures.
* Coordinate the maintenance of files, records, office supplies, or equipment.
* Make recommendations for process improvements, administrative changes, or new initiatives.
* Coordinate travel arrangements and prepare itineraries.
* Coordinate meetings, seminars, and other special events and provide on-site support.
* Establish, with the help of hosting faculty, visits for potential new faculty.
* Arrange meetings and conferences.
* Maintain room schedules.
* Assist in travel arrangements for potential new faculty, guest speakers or visiting lecturers, including guest rooms, meals, transportation, and other details incidental to workshops, seminars, and program development activities.
* Create master academic department schedule based on faculty availability, student needs and enrollment.
* Compile data collection projects as requested by department using various sources of information including faculty CV’s and performance accomplishments.
* Compile and review all necessary credentialing documents of new faculty/adjuncts/teaching assistant as required by university policy.
* Research, interpret, compile, and respond to inquiries about rules, regulations, policies, and procedures.
* Monitor compliance with policies and procedures, as necessary.
* Apply management policies or operating practices.
* Develop administrative and technical procedures.
* Monitor department accounts and provide administrative support to faculty with external funding to include cash handling.
* Maintain a variety of fiscal, administrative, and academic records.
* Verify, process, and review forms to include payroll, enrollment and faculty workload reports, tables, and other documents.
* Perform special analyses and project summaries.
* Review documents for supervisor.
* Perform other duties as assigned.
* High School Diploma or GED
* Five (5) years of experience in general office, personnel operations, or related experience
* Additional education may be used as a substitute for the minimum experience requirement: + Associate’s degree and Three (3) years of experience in general office, personnel operations, or related experience, OR + Bachelor’s degree and One (1) year experience in general office, personnel operations, or related experience
* Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook, Teams, SharePoint/One Drive, etc.)
* Experience in Adobe Acrobat, Emburse, Canopy/FAMIS, and Banner
* Experience in coordinating program/departmental events
* Experience in creating promotional materials for department events
* Analytical skills to address and resolve administrative or operational challenges
* Ability to multitask and work cooperatively with others.
* Strong interpersonal and communication skills for interacting with faculty, staff, and students.
* Planning and organization skills, prioritize responsibilities and meet deadlines
* Ability to respond to changing priorities or unexpected issues in an academic setting
* Ability to maintain discretion with sensitive information (personnel, financial, student records)
* Associate’s degree or higher in Business Administration, Management, or applicable field
* Experience in a higher education environment.
* Experience with the following programs:
Argos, Astra, Banner, Canopy, Concur, Degree Works, Digital Measures, FAMIS, and Workday.
* Knowledge of academic operations (scheduling, course management, faculty appointments)
* Familiarity with departmental budget reports, operations, and travel process/procedures.
* Teacher Retirement System of Texas (TRS) or Optional Retirement Plan (ORP)
