We're looking for a highly organized, proactive, and detail‑oriented Executive Assistant to support our Director of Services. This individual will play a critical role in keeping the Services department organized, ensuring priorities stay on track, coordinating projects, and allowing the Director of Services to focus on leadership, strategic initiatives, and delivering an exceptional client experience.

Position Summary

The Executive Assistant to the Director of Services serves as the operational backbone of the Services department. This role provides executive support while helping coordinate departmental initiatives, projects, meetings, and communications across Service Desk, Professional Services, Technical Alignment, and Field Services.

Success in this position requires exceptional organizational skills, strong communication, attention to detail, discretion, and the ability to manage multiple priorities simultaneously.

What You'll Do Executive Support
  • Manage the Director of Services' calendar and scheduling
  • Coordinate internal and client meetings
  • Prepare meeting agendas and supporting materials
  • Take detailed meeting notes and distribute action items
  • Track follow-up items to ensure accountability
  • Prioritize requests and assist with email management
  • Coordinate travel arrangements when needed
Department Operations
  • Help coordinate projects across multiple service teams
  • Track departmental priorities and ensure projects remain on schedule
  • Maintain department scorecards, reports, and KPI dashboards
  • Organize documentation, SOPs, and internal knowledge
  • Assist with departmental planning and quarterly initiatives
  • Support recurring leadership meetings and planning sessions
Project & Process Coordination
  • Coordinate cross‑department communication
  • Follow up on assigned tasks and outstanding action items
  • Help improve internal workflows and documentation
  • Assist with onboarding coordination for new team members
  • Schedule interviews and support hiring activities for the Services department
  • Coordinate vendor meetings and internal training sessions
Administrative Responsibilities
  • Create presentations and reports
  • Assist with purchasing requests and vendor coordination
  • Process expense reports
  • Organize department files and documentation
  • Support special projects and strategic initiatives
  • Maintain a high level of confidentiality
Communication
  • Serve as a liaison between the Director of Services and internal departments
  • Communicate professionally with employees, vendors, and clients
  • Help coordinate client communications when requested
  • Ensure meeting decisions and action items are clearly communicated and completed
Qualifications Required
  • 3+ years of Executive Assistant, Administrative Assistant, Operations Coordinator, or Project Coordinator experience
  • Outstanding organizational and time management skills
  • Excellent written and verbal communication
  • Strong attention to detail
  • Ability to prioritize multiple competing tasks
  • High level of professionalism and discretion
  • Advanced proficiency in Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint)
  • Strong problem‑solving skills and ability to work independently
Preferred
  • Experience supporting senior leadership
  • Experience coordinating projects or operations
  • Experience with in an IT, MSP, technology, or professional services environment
  • Familiarity with PSA, documentation, or project management platforms
