Senior Office Assistant
- Bilingual

This is a promotional recruitment for a full‑time Senior Office Assistant
- Bilingual position in the City of Napa Community Resources Department. The role provides lead direction and training to assigned office support staff and handles difficult and specialized office support work for various City offices. This is not a supervisory position; the responsibility for selection and evaluation of staff is not assigned to this level.

Key Responsibilities
  • Provides lead direction, training and work review to assigned office support staff; organizes and assigns work.
  • Sets priorities and follows up to ensure coordination and completion of assigned work.
  • Performs difficult or complex office support work.
  • Might act as receptionist, receiving visitors and providing factual information about City services and directing them.
  • Screens phone calls, takes messages, provides factual information regarding City activities and services.
  • Types a variety of reports, forms and specialized documents.
  • Types materials from drafts, notes, dictated tapes or brief instructions using a typewriter or word processor.
  • Proofreads and checks typed and other materials for accuracy, completeness, compliance with City policies and correct English usage including grammar, punctuation and spelling.
  • Enters and retrieves data, prepares reports from an online or personal computer system, including arithmetic calculations; reviews computer‑produced reports for accuracy.
  • Processes forms such as purchase requisitions and orders, compiles, reviews for accuracy and forwards payroll documentation; establishes and maintains office files.
  • Operates standard office equipment; performs opening and distributing mail, processing outgoing mail and orders and maintains inventory of office supplies.
  • Provides back‑up relief for other office support staff.
  • Key Skills and Knowledge
    • Supporting a high-volume, multitasking environment.
    • Proficiency with current computer software in an office environment.
    • Payroll and minor accounting duties.
    • Confidentiality and use of tact and discretion.
    • Initiative and independent judgment.
    • Leading and training other clerical staff.
    • Verbal and written translation between English/Spanish.
    • Interacting with the public and all levels of organizational staff, including maintenance and field staff.
    • Basic supervisory principles and practices, office management practices and procedures, filing and operation of standard office equipment.
    • Proper form for typed materials and correct English usage; spelling, grammar and punctuation.
    • Business letter writing and standard format for typed materials.
    • Basic business data processing principles and use of word processing or personal computing equipment.
    • Basic business arithmetic.
    Minimum Requirements

    Equivalent to three (3) years of responsible general clerical or office assistant experience. Some college or business school coursework in office administration or supervision is desirable.

    Special Requirements

    Potential requirement for a valid California Driver’s License, skill in taking dictation by hand or stenographic machine at a rate of 80 words per minute and transcribing it accurately, and/or bilingual skills.
