THIS RECRUITMENT IS PROMOTIONAL ONLY. YOU MUST PRESENTLY BE A REGULAR or EXEMPT CITY OF NAPA, NON-PROBATIONARY EMPLOYEE IN ORDER TO APPLY FOR THIS POSITION. The City of Napa Community Resources Department has an opening for a PROMOTIONAL recruitment to fill one FULL-TIME Senior Office Assistant - Bilingual vacancy. The employment list developed from this recruitment may be used to fill future full-time bilingual vacancies as they occur during the active status of the list.

The Senior Office Assistant provides lead direction and training to assigned office support staff; performs difficult and/or specialized office support work for various City offices; and performs related work as assigned.
DISTINGUISHING CHARACTERISTICS: This is the working lead and/or specialist class in the general office support series, with incumbents responsible for providing direction to assigned office support staff and/or for performing the more complex or specialized work assignments. This is not considered a supervisory class in that the full authority for the selection and evaluation of employees is not assigned to this level and the number of employees for which direction is provided is limited.

The most successful candidates will have proven skills and knowledge in:

  • supporting a high volume multi tasking environment
  • current computer software and its uses in an office environment
  • payroll and minor accounting duties
  • confidentiality and the use of tact and discretion
  • initiative and independent judgment
  • leading and training other clerical staff
  • verbal and written translation between English/Spanish
  • interacting with the public and all levels of organizational staff, including maintenance and field staff
  • Duties may include, but are not limited to the following: 1. Provides lead direction, training and work review to an assigned office support staff; organizes and assigns work.
    2. Sets priorities and follows up to ensure coordination and completion of assigned work.
    3. Performs difficult or complex office support work. 4. May act as receptionist, receiving visitors and the public in reception of general office areas; responds to inquiries with factual information regarding City services and directs visitors to appropriate areas for scheduled appointments or meetings.
    5. Screens phone calls, takes messages and provides factual information regarding City activities and services which may require the use of tact and judgment.
    6. Types a wide variety of reports, forms and specialized documents related to the particular area of assignment.
    7. Types materials from drafts, notes, dictated tapes or brief instructions using a typewriter or word processor.
    8. Proofreads and checks typed and other materials for accuracy, completeness, compliance with City policies and correct English usage including grammar, punctuation and spelling.
    9. Enters and retrieves data and prepares reports from an on-line or personal computer system following established formats; prepares a variety of reports which may involve arithmetic calculations; reviews computer-produced reports for accuracy and makes corrections as required. 10. Processes forms such as purchase requisitions and orders and others specific to the area assigned; may compile, review for accuracy and forward payroll documentation;

    establishes and maintains office files. 11. Operates standard office equipment; performs such office support activities as opening and distributing the mail, processes outgoing mail and orders and maintains an inventory of office supplies. 12. Provides back-up relief for other office support staff.
    MINIMUM REQUIREMENTS: A typical way of gaining the knowledge and skills required for this classification is:
    Equivalent to three years of responsible general clerical or office assistant experience. Some college or business school course work in office administration or supervision is desirable.
    Knowledge of: Basic supervisory principles and practices; office management practices and procedures, including filing and the operation of standard office equipment; proper form for typed materials and correct English usage, including spelling, grammar and punctuation; business…
