Job Description:
The Administrative Assistant II position provides administrative support to the Regional Operations Support Administrator (ROSA). The position interacts routinely with Texas Department of Family and Protective Services (DFPS) staff and the general public. This position will be responsible for managing proactively a wide range of administrative duties and processes required to directly support the Regional Operations Support Administrator and other Regional Leadership when needed.
This person will work multiple priority activities concurrently that require considerable coordination and follow-through to meet requirements.
Essential Job Functions (EJFs):
* Prepares, types and copies correspondence, reports, forms, meeting notes, training documents and other documents to support work of the ROSA.
* Prepares and maintains reports, leave and personnel records.
* Functions as the timekeeper for the direct reports of the ROSA's unit.
* Develops, coordinates, and maintains record keeping and filing systems for but not limited to MOU's, Title IV-E Program, office space, new hires, CPD.
* Prepares and submits all supply purchase requests for the ROSA unit.
* Tracks a coordinates various types of inquiries and administrative actions including OCA complaints, Ombudsmen complaints all other inquires.
* Assists in planning special meetings, conferences, and training sessions.
* Coordinates travel arrangements and prepares appropriate travel voucher and forms for the ROSA and ROSA units if needed.
* Assist with Child Without Licensed Placement (CWOP) watch to include volunteering for extra shifts if needed.
* Performs other duties as assigned and required to maintain unit and management operations.
* Promotes and demonstrates appropriate respect for cultural diversity among coworkers and all work-related contacts.
* Attends work regularly in accordance with agency leave policy.

* Advanced skills in various software programs including Outlook, Excel, Word and PowerPoint.
* Skilled in using IMPACT preferred.
* Handle multiple tasks simultaneously and autonomously.
* Work efficiently and effectively in a high-pressure environment.
* Skilled at organizing administrative processes and systems.
* Must be detail oriented, possess executive presence, maturity and judgment.
* Excellent interpersonal skills, detail oriented and demonstrate strong organizational and communication skills required.
* Strong problem-solving skills that allow you to be proactive and work independently.
