Overview
This position works at Del Mar College campuses and centers with flexibility to cover any shift (morning or afternoon) to provide adequate office coverage. It reports to the Director of Admissions & Operations in the Student Enrollment Center and performs varied technical and clerical duties within the Admissions Office.
Responsibilities- Interact directly with students, prospective students, and the community regarding admissions requirements.
- Handle international student admissions, determine residency, assist with the application process, and perform data entry of student applications and admissions documents.
- Support all admissions functions for academic, early college, and special programs to enable student registration.
- Complete and maintain electronic student and prospective student files, ensuring data integrity, and delete records as required.
- Assist with maintaining knowledge of federal and institutional regulations (e.g., FERPA) and applicable Texas regulations.
- Provide information on college policies, procedures, standards, and requirements where applicable.
- Evaluate admissions applications for residency status and assign tuition classifications; perform data entry using the college’s student information system to process applications, transcripts, test scores, and related documents.
- Utilize document imaging, virtual check-in, and other systems to manage and route documents and customer flow (e.g., Etrieve, Qless).
- Assist international students by serving as the first point of contact and supporting the I-20 process for F-1 visas; stay current on international admissions protocols.
- Work day, evening, and weekend hours as needed to support admissions and registration initiatives and events across college locations.
- Maintain communications with prospective students via email and other electronic methods; provide excellent customer service in person, by phone, and by email.
- Establish and maintain positive relationships with faculty, staff, students, and the community; collaborate with Student Services, IT, and Early College Programs departments.
- Open and route mail; assist with mailings and other administrative tasks as requested.
- Perform additional related duties as assigned.
- One (1) year of advanced study or training beyond high school or GED equivalency
- Three (3) years of related experience in admissions/registration for education courses, computer-based data entry, and/or office-related customer service
- Or four (4) years of related experience in admissions/registration, data entry, and customer service
- Knowledge of general office policies and procedures.
- Ability to operate general office equipment (document scanners, copiers, printers).
- Proficiency in computer-based data entry and strong communication skills (public, in person, and written).
- Ability to work with high energy, attention to detail, and effective organization; relate well to students and staff from diverse backgrounds.
- Judgment, discretion, and decision-making skills in handling confidential and sensitive information.
- Problem-solving skills: questioning, organizing, researching, analyzing, processing, and interpreting information.
- Ability to work independently and as part of a team; manage multiple tasks and adhere to College policies and procedures.
- Higher education experience.
- Proficiency with Ellucian/Colleague or other student information systems and Microsoft Office applications.
