Function:
The Fine Arts Intern will support the daily operations of the district's Fine Arts Department, with a strong emphasis on accurate record keeping, event preparation, and hands-on assistance for district fine arts activities. The intern will help maintain organized digital and physical records, prepare materials and spaces for events, and provide on-site support to help fine arts programs run smoothly.

This position offers practical experience in arts administration, event operations, professional communication, and district-level service.

Responsibilities:

  • Records and data:
    Enter, update, verify, and organize information related to fine arts programs, participation, events, inventories, and departmental projects
  • File management:
    Maintain orderly digital and physical records using established naming, filing, and document-retention practices.
  • Event preparation:
    Prepare programs, signage, check-in materials, schedules, labels, packets, certificates, and other materials needed for fine arts events.
  • Event setup and breakdown:
    Assist with arranging and resetting tables, chairs, displays, registration areas, supplies, and approved equipment before and after events.
  • Event facilitation:
    Support participant check-in, greet and direct guests, distribute materials, assist staff and volunteers, and help keep event activities organized and on schedule.
  • Inventory and supplies:
    Help track, label, organize, check, and restock fine arts materials, event supplies, and department equipment.
  • Communication support:
    Help prepare and distribute notices, reminders, schedules, forms, and other approved communications to campuses and event participants.
  • Post-event follow-up:
    Organize returned materials, update participation or event records, file documentation, and help restore work and event spaces.
  • Office support:
    Assist with copying, scanning, filing, assembling materials, and other department tasks as assigned.
  • Professional practices:
    Protect confidential information, follow district procedures and safety expectations, and represent the Fine Arts Department in a professional and welcoming manner.

Placement Site: CCISD Central Administration Building - Office of Teaching & Learning, Fine Arts Minimum Requirement: 10 hours per week Set

Schedule:

2:00-4:00 p.m., Monday-Friday (2 hrs/day = 10 hrs/week) Assignments will vary according to current Fine Arts Department priorities and the district event calendar. Any event-related schedule adjustments will be coordinated in advance.

Daily Flow (2:00-4:00 p.m.)

  • 2:00-2:10 | Check-In & Task Review Meet with the supervisor, review priorities and upcoming events, and receive daily assignments.
  • 2:10-2:45 | Record Keeping & Data Support Update records, enter or verify data, organize files, and maintain project or event documentation.
  • 2:45-3:25 | Event Preparation & Department Support Prepare event materials, organize supplies, assemble packets, create signage, or assist with setup tasks.
  • 3:25-3:50 | Communications, Inventory & Follow-Up Assist with approved communications, inventory tracking, material distribution, and post-event organization.
  • 3:50-4:00 | Wrap-Up & Supervisor Check-Out Record completed work, organize the workspace, secure records and materials, and preview upcoming priorities.
