PURPOSE

The Operations Coordinator serves as a key member of the University Center Operations team and is responsible for the daily operation of the Student Union, ensuring a safe, welcoming, and customer-focused environment for students, faculty, staff, and guests. The coordinator oversees facility operations, event setup and execution, student employee supervision, building inspections, risk management, technology support, and facility maintenance coordination. This position provides leadership during evenings and weekends, coordinates operational logistics for campus events, supervises student staff, and works collaboratively with campus partners to ensure exceptional customer service and successful event execution.

The coordinator exercises independent judgment in managing daily facility operations and serves as the building manager during assigned shifts.

1:
Facility Operations

Percent Effort: 40%

Job Duties
  • Coordinate the daily operation of the University Center.
  • Conduct opening and closing building inspections.
  • Ensure the facility is clean, safe, and operational.
  • Monitor building systems and report maintenance concerns.
  • Coordinate with Facilities Services regarding repairs and preventative maintenance.
  • Assist with building access, keys, alarms, and security procedures.
  • Maintain inventory of operational supplies and equipment.
  • Inspect meeting rooms and public spaces for readiness, safety, and cleanliness.
  • Perform routine facility inspections.
  • Coordinate minor repairs.
  • Monitor furniture condition.
  • Report deferred maintenance issues.
  • Assist with equipment replacement planning.
  • Coordinate preventive maintenance schedules.
  • Conduct routine safety inspections.
  • Monitor emergency equipment.
  • Ensure compliance with OSHA, ADA, fire safety, and university policies.
  • Respond to facility emergencies.
  • Complete incident and accident reports.
  • Participate in emergency preparedness planning.
  • Serve on emergency response teams when needed.

Event Operations

Job Duties
  • Coordinate operational logistics for meetings, conferences, and special events.
  • Review event setup requirements and ensure accurate implementation.
  • Supervise room setups and furniture configurations.
  • Coordinate event changeovers.
  • Ensure compliance with fire code, occupancy limits, and safety regulations.
  • Troubleshoot operational issues during events.
  • Provide after-hours support for evening and weekend programs.
  • Assist with large-scale campus events, commencement activities, orientation, and signature university events.
  • Assist with operation of meeting room technology.
  • Troubleshoot audiovisual equipment.
  • Support wireless presentation systems.
  • Coordinate with Information Technology and AV staff regarding technology issues.
  • Maintain operational technology inventory.
