Primary

Purpose:

Assist College and Career Counselor in the administration of the dual credit and post‑secondary programs. Perform routine clerical or administrative duties under direct supervision and help in other duties as assigned.

Qualifications

Education/Certification:

  • High School Diploma or GED
  • Associates or Bachelor's Degree preferred

Special Knowledge/

Skills:

  • Strong keyboarding and file maintenance skills, working knowledge of Microsoft Office products
  • Use of a variety of communication platforms for mobile devices and knowledge of College and Financial Aid Application process
  • Proficient written and verbal communication, successful project management and organizational skills, ability to meet deadlines
  • Strong interest in student success

Experience:

Two or more years of experience working with K-12 or higher education or two years of clerical experience preferred.

Major Responsibilities and Duties
  • Provide student support for courses taught at local post‑secondary campuses, on‑site (high school) or online. Assist students in establishing effective communication with instructors and help them become engaged in post‑secondary courses from day one through the semester.
  • Serve as a guide in building the behaviors exhibited by successful post‑secondary students in compliance with each institution’s “Student Code of Conduct.”
  • Provide effective and timely communication with students verbally, written, or electronically regarding their enrollment in the post‑secondary/higher education.
  • Review course syllabi and encourage students to refer to them for questions about attendance, code of conduct, grades, calendar, assignments, etc.
  • Assist students completing online courses with test/exam administration as needed and indicated by each instructor.
  • Notify College and Career Counselor of any concerns regarding student behaviors, performance or attendance. Any concern requiring post‑secondary instructor notification will be made by the College and Career Counselor, unless otherwise instructed.
  • Manage student behavior and refer to high school administration if disciplinary action is needed.
  • Aid students in establishing relationships with instructors, and guide when there are questions or concerns regarding the course or grades.
  • Verify and compile list of textbooks and/or supplies required for each course. Purchase, distribute, and track textbooks paid for and issued by Calallen ISD.
  • Assist students with initial log‑in to post‑secondary/higher education communication/electronic course platforms.
  • Assist students with technology issues and refer to support as necessary.
  • Inform students of procedures for resolving issues, grades, and other matters related to courses.
  • Provide necessary reminders, develop time‑management skills, identify sources for tutoring and support services offered, and coordinate transportation to and from courses conducted off‑site.
  • Assist College and Career Counselor in reviewing and resolving scheduling conflicts that arise with post‑secondary finals, state assessment, and AP testing.
  • Verify and record attendance daily as per high school policy; notify College and Career Counselor when a student violates post‑secondary program attendance policy.
  • Manage students when class is not in session.
  • Ensure students are aware of transportation schedules and arrival times.
  • Communicate with Transportation Department about schedule changes or additional buses needed.
  • Coordinate transportation if a student misses a return bus.
  • Assist with the development of the post‑secondary transportation schedule.
  • Assist students in completing college applications (Apply Texas, Common App), financial aid or grants/scholarships, and registering for college assessments.
  • Assist College and Career Counselor with post‑secondary course registration paperwork and documents; provide all necessary documents to the appropriate institution.
