Description
Overview

The constituent relations coordinator provides advanced administrative support to City Council members. They are responsible for facilitating communication between members of city council, staff, and the public, providing excellent customer service. This is done by explaining city policies, responding to requests for information, requesting information from departments and monitoring the status of city projects. Maintain council members’ calendars, check availability for appointments and coordinate town hall meetings.

Research and provide requested information to council members on city projects and issues. Must be politically astute and sensitive to requests by council members or constituents.

Responsibilities
  • Manage multiple council members calendars, availability for appointments, and respond to appointments
  • Provide requested information, compose reports, correspondence or presentations
  • Contact city departments to obtain information
  • Inform council members of issues occurring in their district
  • Assist with on-boarding newly elected council members
  • Coordinate travel arrangements, purchases, and town hall events for council members
  • Receive and/or send sensitive and confidential information
  • Primary contact for constituents to contact their council members
  • Responds to constituents’ requests for information or action, researching information or engaging with other departments to resolve request or issues
  • Clearly and accurately explain city policies, procedures, processes, and council members stance on a given policy, issue, or topic
  • Recognize and respond to sensitive requests that may be controversial
  • Watch council meetings to keep up with current issues
  • Maintain knowledge of and ability to perform general office functions such as receiving and routing public information requests, filing of claims, receiving subpoenas and lawsuits, reservations for staff conference room and chambers, filing various documents, etc.
  • Serve as a backup to one or more office functions
  • May be asked to perform other duties as assigned.
Position Type and Typical Hours of Work
  • Flexibility to work evenings, weekends, and holidays is a schedule requirement
  • In the event of an emergency, employees are required to work to provide for the safety and well-being of the public, including the delivery and restoration of vital services.

Qualifications
  • Associate’s degree (AA/AS); or 2-year technical certificate
  • Three (3) years’ experience
Licenses and Certifications
Required
  • Must have or be eligible to secure Texas Notary Public license and maintain license during employment
  • A valid driver's license is required; successful out-of-state candidates must be able to obtain a valid Texas driver's license within 90 days of hire

Basis of Rating

A recruitment consultant will evaluate all applications against the posted qualifications and may request additional information. The city may also conduct additional skill assessment tests, in addition to the panel interview.
