PURPOSE

The Associate Director is primarily responsible for all aspects of departmental operations, project management, supervising professional and para-professional staff and maintains responsibility for the reservations department. The Associate Director must be able to function independently and professionally in the assigned areas of responsibility and will serve as the acting director in the absence of the director. The Associate Director advises the Director in all aspects of departmental operations and project management, and maintains responsibility for the reservations department.

This position will supervise event staff, graduate assistant(s) and student employees.

DESCRIPTION

Functional Area

1:
Reservations and Information Desk (Percent Effort: 40%) Provide leadership for the reservation functions of the UC, including interpretation, application, and enforcement of relevant policies and procedures. Provide regular event planning support and training to internal clients. Oversee the performance of complex scheduling based on a tiered reservations system, including prioritizing the needs of clients, and recommending alternative courses of action when needed;

contribute to and participate in long-range event planning for high-profile and traditional campus events; demonstrate good judgment in making decisions and managing reservable spaces. Communicate with clients to ensure smooth-running, effective events, including leading the successful resolution of potential and real problems in a timely manner using tact, sensitivity, discretion, and political acumen. Communicate with service partners (health and safety, IT, custodial, facilities, parking, etc.)

and co-workers to coordinate services and staffing needs for events. Lead the Event Services Planning Network (ESPN) to coordinate with and support event planners across campus. Ensure quality service, programmatic success, participant safety and facility security, and cleanliness. Respond to and report any safety and security concerns following established protocols. Serve as campus lead for Mazevo, reservation software, supporting other facility managers utilizing Mazevo and working with IT on software updates and related needs.

Marketing and Public Relations (Percent Effort: 40%) Lead staff team to develop and implement student staff training for all UC student employees. Update and maintain the UC student employee handbook and the Reservations/Scheduling handbook. Provides leadership for department along with and in absence of the Director. Serves on the management team with Director. Represents the department, division, or University on various committees.

Participates in developing departmental strategic plans based on department goals. Plans budget for department(s) under their supervision and assists Director in planning and budgeting (including setting annual revenue targets) for department.
