Position: Secretary
- Finance - 11 Month Calendar

Position Summary: Responsible for the overall management of the school office; various secretarial and clerical functions; basic accounting and bookkeeping functions; record keeping and report preparation. Develops and promotes good community relations among various community and school clientele.

Responsibilities
  • General secretarial duties
    • Secretarial and clerical support for building administrator(s).
    • Manages calendars and schedules related to school, activity, and administrator functions.
    • Responds to telephone calls, routes phone calls, takes messages and assists staff, parents and community with concerns and questions.
    • Tracks student attendance, including recording events, contacting guardians in unexcused absence events, and entering attendance data into student information system.
    • Administers first aid and medication in the absence of the school nurse.
    • Supervises students in the office in disciplinary and non-disciplinary situations.
    • Prepares a variety of communications (i.e. newsletters, bulletins, etc.) and distributes them to the appropriate recipients (staff, students, parents, community).
    • Maintains management of the office in the absence of the building administrator.
    • Manages arrangements for substitute personnel and maintains attendant records.
  • Finance duties
    • Performs various financial and budgetary accounting procedures and generates all required attendant reports.
    • Coordinates and documents staff travel purchases.
    • Manages annual campus fundraising appeal.
    • Participates in management of campus operating budget.
    • Submits supply and material orders on behalf of campus staff.

      Collects, records, and deposits receivable fees from staff, parents, students, and community.
    • Generates invoices for payable fees and services.
  • Registrar duties
    • Maintains various computerized and hard copy student records.
    • Maintains and updates registration parameters in student information system including courses, grade levels, and calendars.
    • Tracks and manages student enrollment and withdrawal events.
    • Serves as campus security officer for student information system.
    • Collects and sends graduating student records to next school(s) of enrollment.
  • Performs other related duties as assigned and requested.
  • Observes all district policies and procedures.
Position Requirements

Minimum Education: Specialized classes beyond high school

Minimum Experience: One to three years

Skill Requirements:

Essential Physical Demands
  • Constant lifting 5 to 20 pounds
  • Frequent lifting 20 to over 50 pounds

  • Occasional crawling, sitting, stooping.

Supervision: Reports to Principal; does not supervise other staff.
