Position Summary

The CSR contributes to the daily function of the Graduate Admissions Office. CSR answers incoming calls and walk-ins that inquire about admissions and current student requirements. They host daily live support hours via Zoom for applicants. This work involves learning how to use the administrative side of the graduate application system and how to read application files as they process through the admission and review process.

They handle official documents (transcripts and degree statements) intake via email and other channels, and collaborate with professional staff on assignments to support the unit and department. The CSR also supports recruitment events when hosted or staffed by Graduate Admissions. OSU’s primary mission is to create opportunities for access to graduate education, coordinating programs, policies, and degree requirements. CSRs are expected to help create and maintain a non-discriminatory and educational environment.

Responsibilities

(Position Duties)

40% Reception

Interacts with prospective applicants, current students, and OSU faculty and staff. Responds to high volumes of telephone, walk-in, Zoom, and e-mail inquiries about graduate admission standards and university policies. Maintains a professional, welcoming, and helpful tone. Adheres to FERPA guidelines and communicates with diverse clientele and department heads as needed.

10% Supporting Recruitment Events

Assist with recruitment events, including answering questions, distributing materials, and coordinating logistics as needed.

30% Document Imaging and Postal Mail

Opens postal mail, routes documents, downloads transcripts from secure sites, and uploads documents into the database. Ensure proper routing within OnBase and assist with de-indexing/decrypting documents when necessary.

15% Data and Report Support

Support application process data review and operational assessments; assist with special projects as requested.

Other duties

Provide general office support as assigned.

Qualifications

Minimum Requirements

  • Must be academically enrolled in a high school, community college, or university and pursuing a program or course of study
  • Must meet Academic Standing Requirements; students on academic suspension are not eligible for employment
  • Must meet the applicable minimal enrollment standard
  • International students may have adjusted credit-hour requirements if approved for full-time status by USCIS; refer to OIS for exceptions

Additional Required Qualifications

  • Experience in a customer service setting
  • Ability to work in a fast-paced, multi-priority environment with changing rules, policies, and deadlines

Preferred (Special) Qualifications

  • Strong verbal and written communication skills; ability to explain policies via phone, email, and in-person
  • Ability to learn new systems and adapt to procedure changes
  • Ability to navigate hosting Zoom sessions
Working Conditions / Schedule

Part-time, up to 24 hours per week. Standard university office environment with potential for remote or hybrid arrangements if applicable.
