Job Summary
This recruitment will be used to fill one full-time Office Specialist 2 position for the College of Liberal Arts at Oregon State University. The position provides administrative, programmatic, and faculty support in the School of Writing, Literature, and Film. Key tasks include responding to inquiries from students, faculty, staff, and the public; assisting with event planning and coordination; maintaining directories and document archives;
managing office supplies; and opening and closing the office. Programmatic support includes communicating procedures and requirements to faculty and students, facilitating textbook orders, assisting with graduate admissions, GTA orientation, and office assignments. The role also supports the School’s digital presence by updating website content and posting promotional material to social media.
- General Office Support (35%):
Open and close office, manage office supplies, maintain directories and archives, answer inquiries, and perform general clerical duties. - Communications (30%):
Draft and edit clear communications, manage the School’s email and social media accounts, and create promotional materials. - Undergraduate and Graduate Program Support (30%):
Communicate program procedures, facilitate textbook orders, assist with graduate admissions and orientation, and coordinate office assignments. - Other duties as assigned (5%)
- Two years of general clerical experience, including one year of typing, word processing, or similar document generation.
- Or an Associate’s degree in Office Occupations or Office Technology.
- Or graduation from a private business school with a Certificate in Office Occupations or Office Technology and one year of general clerical experience.
- College courses in Office Occupations or Office Technology substitute for required experience on a year‑for‑year basis.
- Undergraduate degree.
- Experience creating and managing digital content for webpages and social media.
- Experience supporting events, workshops, or program coordination.
- Familiarity with Canva, Adobe Creative Suite, or other design tools.
- Typical Monday‑Friday hours, 8:00 a.m. to 5:00 p.m.
- Extensive computer use.
- Occasional lifting or moving of materials up to 25 pounds.
Hourly:
Minimum $19.36, maximum $28.75.
