Executive Assistant (Academic Operations – Office of the Registrar)
Full‑time (1.00 FTE) 12‑month professional faculty position. The role supports the Associate Vice Provost for Academic Affairs & University Registrar and other leadership functions in Academic Operations. Responsibilities include confidential administrative support, office and budget oversight, commencement operations, and coordination of volunteer and community service initiatives.
Key Responsibilities- 45% Administrative Support – Associate Vice Provost for Academic Affairs & University Registrar
- 25% – Director, Office Administration
- 15% – Budget and Financial Oversight
- 10% – Commencement Operations & Volunteer Coordination
- 5% – Other duties as assigned
- Bachelor’s degree and five years of executive administrative support experience in higher education or a similarly complex organization.
- Two years of experience in office operations, leadership, and budget development/management.
- Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Experience analyzing complex challenges with an equity lens and developing actionable, equitable solutions for student populations.
- Excellent verbal and written communication skills; ability to communicate with executive‑level management and academic constituencies.
- Ability to draft professional correspondence independently.
- Ability to work with frequent interruptions, manage multiple priorities, and meet deadlines in a changing environment.
- Judgment and problem‑solving skills exercised with professionalism, confidentiality, discretion, and diplomacy.
- Excellent customer‑service skills and responsiveness in critical situations.
- Comfortable working in ambiguous and uncertain environments and pivoting quickly.
- Must successfully complete a criminal history check and meet University Standard 05‑010 et seq.; additional background checks may be required annually for youth program participation.
- Advanced degree or higher in business management, operations, human resources, or higher education.
- Experience in higher education and with registrar, enrollment management, or similar academic administrative units.
- Proficiency with complex data systems such as Banner, Workday, Peoplesoft, OnBase, or Slate.
- Experience with collaborative online tools (e.g., Miro, Slack) and Microsoft SharePoint and CoPilot.
