Fiscal Coordinator 1 (Account Reporting & Grant/Contract Administration)

This position supports the financial management of the Superfund Research Program (SRP) and Environmental Health Sciences (EHS) Center at Oregon State University. The Fiscal Coordinator 1 serves as the primary liaison between SRP/EHSC and the College of Agricultural Sciences Research Support Services, Financial Strategic Services, and other OSU offices, ensuring accurate and timely budget information and compliance with sponsor and institutional policies.

Key Responsibilities

50% – Administrative and Account Reporting

  • Analyze post‑award financial management needs and design, develop, and maintain electronic budget projection and tracking tools in collaboration with CAS Research Support Services and Financial Strategic Services.
  • Analyze expenditure patterns, identify budget variances, forecast personnel and operating costs, and recommend corrective actions to maintain compliance with institutional and sponsor guidelines.
  • Build and maintain data structures, queries, and automated reports that pull and reconcile data from university financial systems and local tracking tools.
  • Collaborate on budget development, including drafting annual budgets and cost projections for research projects and contracts.
  • Present budget updates, fiscal year‑end and progress reports as needed.
  • Assist Director(s) with organization and management of business‑related activities of the EHSC.
  • Support contract and agreement administration in compliance with OSU policies and procedures.
  • Collaborate with Director(s) and program administrators to ensure program support as directed.
  • Attend the annual in‑person NIEHS SRP and EHSC meetings and contribute to the NIEHS annual progress reporting.

45% – Grant/Contract Administration

  • Provide in‑house financial management for SRP/EHSC and coordinate distribution of fiscal tasks to appropriate fiscal coordinators.
  • Alert Principal Investigators and Directors to emerging budget concerns, spending risks, deficits, or compliance issues before they become critical.
  • Maintain and update financial tracking spreadsheets for all SRP/EHSC grants and funds.
  • Complete FFRs for OSRAA review.
  • Prepare annual salary budget worksheets and coordinate faculty and research staff FTE allocations.

5% – Support Special Projects

  • Participate in sponsor, agency, or other program audits and evaluate financial processes for improvement.
  • Assist with fiscal year‑end closing activities related to grants and contracts.
Qualifications

Required: Bachelor’s degree with at least 24 quarter (16 semester) hours of accounting courses plus two years of accounting experience, or a CPA/PA certificate with two years of accounting experience, or 24 quarter accounting courses with three years of experience. Accounting experience must include at least six of the following: accounting system problem resolution, revenue and expenditure classification, system control conformity, account reconciliation, journal voucher preparation, accounting principles application, error tracing, data processing, oral and written communication, computer reporting, governmental and fund accounting, and spreadsheet/database software.

All courses must be from accredited colleges, universities, or private vocational schools. Transcripts are required for all related courses.

Desired Skills and Experience
  • Experience with university financial systems such as Workday, Banner, or People Soft.
  • Knowledge of post‑award grant management, federal grant regulations, or fund accounting principles.
  • Experience designing, implementing, and maintaining databases, dashboards, or other information systems.
  • Experience with financial management or procurement platforms and expense tools.
  • Experience developing tracking systems or spreadsheets to support financial operations.
  • Experience creating procedures, workflow improvements, or documentation to enhance efficiency.
  • Prior coordination between multiple offices or stakeholders.
  • Background in research, academic, or laboratory settings.
