Job Summary

Business Operations Manager – a full‑time (1.00 FTE), 12‑month, professional faculty position in the Division of Educational Ventures (DEV), Ecampus. The role reports to the Vice Provost and is a critical member of the division leadership team, overseeing human resources, accounting and finance, facilities management, and various special projects. The manager provides direct, confidential support to the Ecampus Vice Provost and Associate Vice Provosts and contributes to strategic and tactical planning for the organization.

Key Responsibilities

25% OPERATIONS AND FACILITIES MANAGEMENT

  • Primary contact for Ecampus business operations and liaison with university partners regarding business functions and facilities.
  • Oversee the use of facilities, including space planning, negotiation of space, construction, and assembly of workstations, and coordination of moves.
  • Participate in day‑to‑day operations of Ecampus, attending directors’ meetings.
  • Research, develop, and recommend administrative policies and procedures related to division operations, administration, and facilities.

25% FINANCE

  • Participate in budget development and monitor division’s operations budget activity.
  • Build and track the division operations budget.
  • Serve as liaison with the university’s controller team to provide accurate budget and expenditure information to executive leadership.
  • Participate in projects requiring budget strategies and detailed budget information that inform the Vice Provost and Associate Vice Provosts.
  • Serve as budget authority and purchasing approver for services and supplies related to the operations of the division.
  • Approve and sign regular expenses up to $25,000; route larger requests to the Vice Provost.
  • Oversee foundation funds and review and approve expenditures on foundation accounts.
  • Ensure compliance with applicable laws, rules, regulations, and policy.

15% HUMAN RESOURCES AND CULTURE

  • Serve as Ecampus resource for highly confidential human resource relations, including organizational structure, classification, and compensation.
  • Liaison with the university’s human resources team to consult and ensure compliance with applicable laws and policy.
  • Participate in developing strategy for maintaining a welcoming and supportive workplace culture in alignment with the division’s mission and vision.
  • Survey and assess the health of the division, identifying opportunities for improvement and implementing change.
  • Provide guidance to division supervisors on institutional and division guidelines, policies, and procedures.
  • Review and approve HR transactions.

20% ADMINISTRATIVE SUPPORT TEAM LEADER SHIP AND SUPERVISION

  • Provide direction and leadership of the administrative support team, including office management, reception, travel and expense, finance support, contract management, and recruitment.
  • Plan, assign, and approve work; reward/discipline; respond to grievances; hire/fire; prepare and sign performance evaluations.
  • Identify professional development opportunities and coordinate participation.
  • Directly supervise the division’s Office Manager, Business Associate, and Administrative Associate.

10% PROJECT MANAGEMENT

  • Oversee special division projects, collaborating with internal units, cross‑campus units, and third‑party vendors.
  • Manage project details, coordinate work priorities, act as liaison between leadership and project team, and monitor progress toward completion.

5% PROFESSIONAL DEVELOPMENT AND SERVICE

  • Contribute to division and university committees and projects; represent the unit at workshops, conferences, and meetings.
  • Attend training to develop expertise in equitable hiring practices and minimizing unintentional biases.
  • Participate in division, university, and community service opportunities that sustain an effective work culture.

  • Bachelor’s degree in a field related to the assigned responsibilities or an equivalent combination of education and experience.
