Position Summary
Reporting to the Executive Director of 4-H Foundation/Director of Development, this position provides general administrative support to the 4-H Foundation Executive Director/Director of Development, and program support to the 4-H Foundation Board.
The mission of the Oregon 4-H Program is to provide young people with intentional, high quality learning experiences that promote positive interactions with adults and peers, sustained and active participation across time, and opportunities to make meaningful contributions to the world around them. The Oregon 4-H Program is a unit of Oregon State University Extension Services.
Measures of Success- Ensure all Board meetings, including committee meetings, are executed professionally and provide the Trustees with a meaningful volunteer experience worthy of the time they give.
- Ensure best practices are used when coordinating meeting materials and are electronically prepared and distributed to all participants in a timely manner.
- Ensure all communication needs for 4-H Foundation’s trustees, donors, friends and 4-H association counties are met in a timely and appropriate manner and – as importantly – convey the unique perspective of the 4-H program.
- Ensure each county 4-H association 501c3 status is maintained each year and county fundraising results are communicated to the Oregon 4-H Foundation.
- Under the guidance of the Executive Director, support financial reporting; organize and maintain files, records, publications, and reports; and manage filing systems.
- Prepare budget reports as needed, process mail, pay invoices, administer expense reports, and maintain 4-H donor and volunteer records in the CRM.
- Under the general supervision of the Executive Director, partner with Finance to prepare county cash position and projected balance reports and support the annual county reporting process.
- Provide program and administrative support for planning and board meetings, including preparing materials, developing presentations, recording and maintaining accurate minutes and records, and ensuring meetings are conducted professionally.
- Support and advise trustees and the Executive Director to ensure effective and professional board operations.
- Collaborate with the Executive Director to deliver professional, accurate, timely, and engaging communications to 4-H Foundation stakeholders.
- Under the guidance of the Executive Director, provide scholarship criteria to OSU 4-H faculty, notify donors of scholarship recipients, and track, document, and monitor unrestricted foundation and 4-H program grant activity.
- Provide program support to the Executive Director in partnership with Annual Giving staff to coordinate faculty and donor participation in annual giving events and solicitations, and to acquire, retain, upgrade, and sustain support from current, lapsed, and prospective Leadership Circle members.
- General knowledge of fundraising principles, donor concepts, and philanthropic activities.
- General knowledge of 4-H philosophy, mission, and program activities.
- Project management and organizational skills.
- Experience working with volunteers and within board or governance structures.
- Ability to work independently with minimal supervision while effectively multitasking and prioritizing competing demands.
- Proficiency using Microsoft Office Suite (Word, Excel, PowerPoint, Teams, SharePoint, Outlook) and video conferencing platforms such as Zoom.
- Strong written and verbal communication skills, with the ability to develop clear, concise materials for diverse audiences.
- Accuracy and attention to detail in written materials, communications, and administrative processes.
Bachelor’s degree required and three or more years of experience as an administrative assistant, or related administrative experience using similar knowledge skills or abilities. Experience in handling confidential information. Candidates must possess a valid driver’s license and must be able to travel occasionally by varying modes of transportation.
