Key Duties and Responsibilities Accounts Payable
- Set up new vendors, collect tax documents, and code expenses accurately.
- Manage AP inbox, follow up for approvals, and post invoices daily.
- Prepare and process weekly ACH and check payments.
- Process Provider payments monthly and reconcile weekly payment activity.
- Review benefits and malpractice invoices, allocate costs, and record accruals.
- Prepare refund checks and review vendor matrix for missing invoices.
- Assist with monthly AP accruals.
- Deposit daily mail checks and prepare deposit reports.
- Post weekly bank transactions for multiple entities.
- Save and organize all monthly bank statements.
- Prepare bi-weekly payroll journal entries and reconcile payroll reports.
- Process employee reimbursements from Trip Log and post related JEs.
- Post ADP invoices and payroll debits weekly.
- Record monthly payroll accruals.
- Print final payroll checks as needed.
- Reconcile balance sheet accounts for assigned entities.
- Prepare and maintain monthly reconciliation folders supporting the GL.
- Sort and distribute office mail.
- Process tax payments for entities as directed.
- Assist with annual shared savings and AMP bonus payment calculations.
- Prepare and file 1099s annually.
- Submit audit support requests.
- Assist with reclassifications and ad hoc accounting tasks.
- Bachelor's degree in accounting, preferable.
- 1–3 years of accounting experience (AP, payroll accounting, or general accounting).
- Strong understanding of GAAP basics and journal entry preparation.
- Experience with ERP systems, Net Suite preferred.
- Intermediate to advanced Excel skills (vlookup, pivot tables, filters).
- Excellent communication skills, both written and verbal.
- Strong numeracy and analytical skills.
- Ability to work under minimum supervision
- Good problem-solving and time management skills.
- Highly organized and detail oriented.

- Excellent use of Microsoft Office and Excel, very good with spreadsheets
- Attention to detail, willingness to learn new tricks and accesses
- Thrives in an unstructured, start-up environment.
- Self-starter that can work independently and collaboratively, prioritize tasks and has initiative and excitement to take on unfamiliar tasks.
- Advanced knowledge of word processing, graphic presentation and computer software related to specific tasks
- Demonstrated excellent computer and word processing skills with special emphasis on calendaring, presentation, and spreadsheet capabilities
- Working knowledge of company policies, procedures, and operations
- Excellent composition, grammar, and business language skills
- Excellent communication and interpersonal skills with the ability to effectively communicate with all levels of management, patients, and family members.
