The role

The Customer Success Associate at Kinetic plays an integral part in the invoicing and billing process for our clients in the automotive industry. You will be responsible for ensuring accurate and timely invoicing, resolving billing discrepancies, and maintaining strong relationships with clients to facilitate smooth billing transactions. Candidates with knowledge of the collision repair process, automotive vendor invoicing, and familiarity with ADAS Technology are a plus.

Responsibilities
  • Build and maintain trusted relationships with internal teams and external customers
  • Support scope:
    Own the end-to-end setup and onboarding process of new customer, from scheduling the first service request through to service complete and invoiced
  • Support the vehicle dispatch process, including during peak times when daily volumes spike
  • Distribute accurate client invoices in a timely manner, ensuring compliance with customer agreements and contracts
  • Address client inquiries regarding invoices, billing discrepancies, and payment terms promptly and professionally, providing exceptional customer service
  • Investigate and resolve billing issues and discrepancies to ensure timely payment collection while maintaining high client satisfaction
  • Maintain up-to-date customer account records and documentation, including contract terms, pricing agreements, tax forms, and system updates
  • Conceive, draft, publish internally, and maintain processes and procedures that support efficient and effective execution as Kinetic grows its customer base
  • Support customer retention efforts by proactively addressing concerns and identifying opportunities to improve client satisfaction
Required qualifications
  • Proven experience in a client-facing invoicing, billing, or accounts receivable role within the automotive industry
  • Strong understanding of billing processes, automotive industry standards, and accounting principles
  • Proficiency in using billing software and Microsoft Excel
  • Familiarity with Quick Books and Net Suite, along with industry software such as CCC or Mitchell
  • Excellent attention to detail and accuracy
  • Strong communication and interpersonal skills, with the ability to build rapport with clients and internal stakeholders
  • Ability to prioritize tasks, meet deadlines, and work effectively in a fast-paced environment
  • Adaptability and a willingness to work with evolving processes and systems
  • Problem-solving skills with a proactive approach to addressing challenges
  • Patient, calm, customer-focused attitude and a commitment to providing exceptional service and support
  • Ideal:
    Bachelor's degree in Accounting, Finance, or Business Administration
