Description We are looking for a skilled Administrative Assistant to join our team in Costa Mesa, California. This is a Contract to permanent position, offering an excellent opportunity for growth and development. The role requires an individual with strong communication skills and the ability to manage vendor relations and procurement processes efficiently.

Responsibilities:

- Assist with onboarding suppliers into the company's procurement system, ensuring all necessary information is accurately recorded.

- Manage purchase orders and invoicing processes, maintaining precise documentation and timely follow-ups.

- Communicate effectively with vendors to address inquiries and resolve any issues.

- Coordinate vendor relationships and maintain strong collaboration to support procurement needs.

- Perform data entry tasks with a high degree of accuracy and attention to detail.

- Provide administrative support to the Indirect Procurement Manager and other team members as needed.

- Handle incoming calls with a high standard of service, directing inquiries to the appropriate departments.

- Utilize Oracle and other relevant software systems to support procurement and administrative tasks.

- Maintain a smart casual appearance while representing the organization in a manner that reflects attention to detail.

- Ensure efficient organization of office operations and administrative functions. Requirements - Minimum of 2 years of experience in administrative roles, preferably within procurement or vendor management.

- Proficiency in Oracle software and other procurement systems.

- Strong communication skills, both verbal and written, to interact effectively with vendors and team members.

- Demonstrated ability to perform accurate data entry and manage documentation.

- Familiarity with indirect and global procurement processes.

- Experience handling inbound calls and managing receptionist duties.

- Ability to work onsite 100% in Costa Mesa, California.
