Description

We are looking for a detail-oriented Administrative Assistant to join our team on a contract basis in Costa Mesa, California. This position is ideal for someone who thrives in a fast-paced environment and enjoys working with structured data, spreadsheets, and operational reporting. As a key part of the team, you will provide essential support across various departments, ensuring that processes run smoothly and efficiently.

Responsibilities:

+ Create and update spreadsheets and tracking tools to facilitate day-to-day operational processes.

+ Gather, organize, and maintain reports related to sales, commissions, payroll entries, and other proprietary data.

+ Support the development of weekly reporting by providing calculations and data tracking in line with current reporting standards.

+ Optimize, standardize, and manage internal documents, SOPs, and shared team resources.

+ Deliver administrative support for management and various cross-functional teams.

+ Oversee project coordination activities, ensuring timely follow-up and completion of assigned initiatives.

+ Ensure operational data and files are accurately maintained and systematically organized.

+ Partner with different departments to address evolving priorities and support operational requirements.

+ Assist with commission calculations and handle data entry as needed.

Requirements

- Minimum of five years' experience in administrative support, operations assistance, or office management.

- Advanced proficiency in Excel and Google Sheets, including handling structured data and formulas.

- Strong ability to interpret spreadsheets, reports, and operational workflows.

- Exceptional organizational skills and keen attention to detail.

- Self-motivated with the ability to work independently and adapt to minimal supervision.

- Experience supporting finance, HR, sales operations, or executive teams is highly desirable.

- Excellent analytical skills and a proactive approach to problem-solving.

- Comfortable working in a dynamic environment with shifting priorities.
