We're seeking an experienced Executive Assistant to serve as the trusted right hand to our Chief Executive Officer (CEO).

Why This Role MattersThe CEO is responsible for driving the organization's vision, growth, and operational strategy. Your role is to ensure those priorities don't get lost in the day-to-day. You'll serve as the operational backbone behind executive leadership, helping coordinate initiatives, track deliverables, facilitate communication, and keep critical projects moving forward. Your ability to anticipate needs, manage competing priorities, and drive follow-through will have a direct impact on the success of the organization.

- Prepare reports, presentations, agendas, and briefing materials

- Prepare meeting materials and ensure attendees are prepared
- Attend meetings, capture key decisions, and document action items
- Distribute meeting summaries and follow-up communications
- Track commitments and ensure deadlines are met
- Support organizational initiatives and operational improvement projects
- Maintain project trackers, timelines, and status updates
- Coordinate activities across multiple departments and locations
- Help drive accountability and execution throughout the organization
- Manage and prioritize executive communications
- Draft professional correspondence and responses
- Identify urgent matters requiring immediate attention
- Serve as a liaison between leadership, staff, vendors, and external partners
- Assist with sales and business development initiatives
- Coordinate proposal development, client communications, and pipeline follow-up
- Support cross-functional activities that contribute to organizational growth
- Help ensure seamless execution of customer and operational objectives
- Maintain tracking systems for key organizational deadlines and reporting requirements
- Assist with audit readiness and document management
- Maintain organized records and supporting documentation
- Ensure important deliverables and compliance-related activities remain on schedule
- 3+ years of executive assistant, project coordination, healthcare administration, or leadership support experience
- Exceptional organizational and time management skills
- Ability to manage multiple priorities in a fast-paced environment
- Strong written and verbal communication skills
- High level of professionalism, discretion, and confidentiality
