Front Desk / Administrative Coordinator
Full‑time, Direct Hire, Onsite
Location:
Costa Mesa, CA
Pay: $28–$30/hour ($60,000 annually)
A well‑established nonprofit organization is seeking a professional and detail‑oriented Front Desk / Administrative Coordinator to support daily office operations, membership services, donation processing, and special events. The role is ideal for someone who enjoys being the first point of contact for visitors, thrives in a collaborative environment, and has strong organizational and customer service skills.
Key Responsibilities Office Administration- Manage front desk operations, including answering phones, greeting visitors, and responding to general inquiries
- Maintain office supplies, equipment, and inventory
- Coordinate vendors and facility service providers for office maintenance and repairs
- Process and distribute incoming and outgoing mail, including donations, appeals, and correspondence
- Track and maintain spreadsheets related to mail campaigns, raffles, and appeals
- Schedule and coordinate conference room usage and meeting logistics
- Arrange catering and meeting accommodations as needed
- Serve as the primary point of contact for office maintenance issues and follow through on resolutions
- Review and process membership applications and donations
- Maintain and update constituent records within a CRM database (Raiser’s Edge experience preferred)
- Process acknowledgments and thank‑you communications
- Support membership‑related communications and order processing
- Assist with email platform maintenance and tracking
- Process, code, scan, and track donations while ensuring accurate recordkeeping
- Assist with event preparation and coordination
- Track and maintain auction items and event materials
- Support scholarship and award‑related administrative processes
- Coordinate vendors for event materials and awards
- Provide occasional support during organizational events, including limited evening or weekend participation
- Collaborate with multiple departments to support organizational goals
- Maintain confidentiality and accuracy in all records and communications
- Contribute to a positive, team‑oriented workplace
- Assist with additional projects and administrative duties as needed
- 3–5 years of administrative, front desk, customer service, or office support experience
- Nonprofit experience is a plus
- Experience with CRM systems such as Raiser’s Edge preferred
- Proficiency with Microsoft Outlook, Word, Excel, Adobe, and Zoom
- Strong organizational, communication, and multitasking abilities
- Ability to manage multiple priorities in a deadline‑driven environment
- High attention to detail and commitment to accuracy
- Professional demeanor with excellent interpersonal skills
Monday–Friday
8:00 AM – 4:00 PM (30‑minute lunch)
37.5‑hour workweek
100% Onsite
