DescriptionUnder supervision, performs a variety of general clerical and administrative support duties.
Responsibilities- Order and maintain office and general workplace supplies.
- Coordinate with building management and outside vendors regarding office maintenance, repairs, security, cleaning, and other services.
- Monitor office conditions and proactively identify maintenance, supply, or operational needs.
- Prepare correspondence, reports, presentations, spreadsheets, and other business documents as needed.
- Maintain electronic and physical files and ensure records are organized and accessible.
- Assist with scheduling meetings, appointments, and travel arrangements when requested.
- Support employee onboarding and offboarding activities, including workspace preparation, equipment coordination, access requests, and other administrative needs.
- Assist Accounting with invoices, purchase orders, expense documentation, and vendor records as needed.
- Provide administrative support to Human Resources and other departments when requested.
- Maintain office contact lists, directories, calendars, and other administrative resources.
- Coordinate company meetings, lunches, celebrations, and employee events.
- Assist experts in the office with scheduling of calls, meetings, etc.
- Maintain confidentiality when handling employee, client, financial, and company information.
- High School Diploma or equivalent
- Excellent verbal and written communication skills
- 5+ years of prior office/administrative experience preferred
- Intermediate MS Office and typing skills
- Can problem solve and demonstrate initiative
- Able to switch tasks quickly as work priority demands
- Ability to work as part of a team, with multiple managers
- The ability to sit at a desk up to 80% of the time
- The ability to stand and walk up to 20% of the time
- The ability to be confined in a small area, such as a cubicle
- The ability to operate phones and computers
- The ability to work in front of a computer for most of the day
The functions of this role are conducted in an office environment.
