The Service & Operations Specialist is the backbone of our service operations, ensuring the right people, information, and resources come together to deliver an exceptional customer experience. This role combines customer service, operational coordination, scheduling support, system administration, billing, payroll processing, and continuous process improvement to keep work flowing efficiently from start to finish. The ideal candidate is highly organized, detail‑oriented, thrives in a fast‑paced environment, and enjoys solving problems while supporting both customers and field technicians.

What You’ll Do
  • Manage Service Titan backend operations, including maintaining the Price Book, work orders, service requests, customer records, and operational reports.
  • Provide backup support for technician dispatch and scheduling by assigning appointments and coordinating workload, location, priority, and technician availability.
  • Serve as the primary point of contact for customers, responding to inquiries regarding scheduling, billing, service contracts, and work status while coordinating communication with technicians and internal teams.
  • Process weekly billing, verify technician time, and maintain accurate job documentation.
  • Manually process and enter payroll data.
  • Manage recurring maintenance agreements, contract renewals, equipment registrations, and manufacturer portals.
  • Track open work orders and support timely job completion.
  • Coordinate materials, inventory updates, and project supply replenishment for service operations.
  • Maintain general knowledge of permit requirements and assist with pulling permits for projects.
  • Identify opportunities to improve scheduling, communication, and operational efficiency.
Qualifications Required
  • 2+ years of experience in project coordination, billing, scheduling, dispatch, or service operations within construction, electrical, mechanical, HVAC, generator, or a similar trade.
  • Excellent organizational, communication, and customer service skills.
  • Ability to manage multiple priorities in a fast‑paced environment.
  • Strong attention to detail and problem‑solving skills.
  • Proficiency with Microsoft Office; experience with Service Titan or similar field service software is preferred.
  • High school diploma or GED.
Preferred
  • Experience supporting field service or construction operations.
  • Associate's or bachelor's degree in Business Administration, Construction Management, or a related field.
Physical Requirements
  • Ability to remain in a stationary position (e.g., seated at a desk) for extended periods of time.
  • Frequent use of hands and fingers for typing, handling documents, and operating office equipment (e.g., computer, phone, copier, fax).
  • Ability to move about the office to access files, supplies, office equipment, and assist visitors.
  • Occasional lifting or moving of items up to 25 pounds (e.g., office supplies, packages).
  • Clear vision and hearing required for reading documents, computer work, and communicating effectively in person and via phone.
