Job Summary

Work Schedule:

Typical shift coverage 7a-3p, Monday-Friday. This is a casual/PRN position. Casual/PRN employees work on an ‘as needed’ basis; work days/hours vary.

The role includes preparing exam rooms and equipment, scheduling patient appointments, performing patient instruction, and ensuring efficient workflow.

Responsibilities
  • Prepares exam rooms and equipment
    • Performance Measures:
      Prepare exam rooms and medical equipment according to physician protocol 95% of the time.
    • Turn rooms around timely at the beginning, in-between patients, and at the end of clinic day.
    • Independently manage ordering, stocking, and supplying of medical supplies for the clinic; correspond with linen, CSR, sterile processing, other departments as needed.
    • Independently manage equipment sterilization; ensure equipment returned to appropriate area in acceptable time.
    • Maintain work areas with stocking, cleaning, and organizing equipment and rooms.
  • Prepares patient for provider exam
    • Performance Measure:
      Prepare patients for exam by following physician protocol 95% of the time.
    • Bring patients back and prepare them for exam following physician protocol.
    • Obtain accurate medical history, vitals, etc.; pass information to physician appropriately; stay in room during exam to document as directed.
    • Obtain practitioner requested tests, records, and lab work.
  • Front desk requirements
    • Serve as backup to the front desk to answer phones, assist intake, scheduling, and manage medical records when directed.
    • Display professionalism when answering the phone.
    • Always appear willing to help a customer/patient.
    • Perform other related duties as assigned by management.
  • Telephone triage
    • Performance Measures:
      Receive and return patient phone calls in a timely manner based on medical priority 95% of the time.
    • Accurately record and report patient's condition; report findings/follow‑up questions to provider as directed.
  • Prescription renewal/inquiries
    • Performance Measures:
      Handle prescription refills according to department/physician direction.
    • Handle prescription renewals/inquiries in a timely manner and with accuracy.
  • Patient and family education
    • Performance Measures:
      Educate/instruct patients according to provider direction 95% of the time.
    • Provide educational material including books, brochures, websites, and other resources.
    • Explain/review education material to patient and family as directed.
  • Schedules patients for surgery/diagnostic testing
    • Performance Measures:
      Schedule patients for surgery accurately 95% of the time.
    • Schedule according to physician preferences.
    • Correspond with appropriate departments to coordinate specific procedures as instructed.
  • Maintains doctors' surgery/office schedules
    • Performance Measures:
      Maintain surgery schedules adequately 98% of the time.
  • Handles surgery/diagnostic testing process
    • Performance Measures:
      Follow process for patient registration 98% of the time.
    • Notify patients of all surgery details including when and where to report.
    • Schedule preoperative testing and physicals with primary care physicians/specialists.
    • Ensure preoperative information from specialist/primary care physician is completed and within normal limits; report abnormalities to surgeon.
    • Confirm and document all surgery instructions with patient.
    • Notify consulting and referring physicians of procedures.
  • Assist providers with patient treatment
    • Assist with office biopsies and aspirations; set up sterile equipment; document specimen containers.
    • Clean and disinfect procedure room per standard procedures.
    • Use time‑out procedure as required by hospital.
    • Deliver specimens to pathology department in a timely manner.
  • Maintains clinical database
    • Enter and maintain patient database tracking personal history staging information for physician use.
    • Maintain database for noninvasive breast cancer patients per NCCN guidelines.
    • Maintain database for invasive breast cancer patients per NCCN guidelines.
    • Member of Breast Leadership Program; attend meetings; assist in NAPBC accreditation.
    • Maintain survivorship database with NCCN and NAPBC compliance; distribute and review with patients.
