Job Summary
We are seeking a highly organized and proactive Service Coordinator / Dispatch Coordinator to support daily service operations and act as a key liaison between customers, field technicians, and internal departments. This role is critical to maintaining efficient scheduling, managing workflow, and ensuring service requests are executed accurately and on time. The ideal candidate thrives in a fast-paced environment, communicates effectively, and can manage multiple priorities with precision.
Responsibilities- Enter and manage new service jobs from Account Managers and field personnel
- Monitor active work orders for status, accuracy, and timely progression
- Follow up on open work orders to ensure completion and proper closeout
- Review and verify completed job summaries for accuracy
- Provide regular updates and status reporting to the Operations Manager
- Coordinate with Account Managers to determine scheduling readiness for open jobs
- Enter purchase orders for materials and products requested by field technicians
- Support daily dispatching and scheduling efforts to maximize field productivity
- Maintain strong communication between office staff, technicians, and customers
- 2+ years of dispatching, service coordination, scheduling, or administrative support experience preferred
- Experience in HVAC, mechanical service, construction, or related industry a plus
- Strong organizational and multitasking skills
- Proficient in scheduling/dispatch software and Microsoft Office
- Ability to work with urgency, prioritize effectively, and solve problems independently
- Strong written and verbal communication skills
