Position Summary

This position involves the accurate and timely completion of invoicing or awarding pursuant to external sponsors’ contracts, grants, and agreements. The role interprets award documents, establishes, and maintains post‑award administration records, and communicates with university personnel and federal, state, local, and non‑profit sponsors. The position does not negotiate or execute on behalf of UGA / UGARF; that authority resides with the Pre Award Team.

Responsibilities
  • Read, interpret, and verify award documents; note special requirements.
  • Set up awards and chart strings in the Financial Management System per sponsor requirements.
  • Identify invoicing and financial reporting requirements and record them in the Grants Portal.
  • Manage and maintain letters of credit with federal agencies; calculate and reconcile drawn amounts and report expenditures per federal guidelines.
  • Prepare related FFR / SF‑425 reports to meet sponsor requirements and reconcile amounts for financial statements.
  • Review and approve fiscal compliance items, including UGAMart requisitions, expense reports, payment requests, combo code requests, and journals for charges on sponsored projects; process residual balance requests.
  • Respond to external agency and UGA departmental questions, inactivate closed projects, assist with audits, and perform other duties as assigned.
  • Act as a liaison with departmental contacts based on agency assignments; research and correct budget issues as necessary.
Qualifications
  • Associate’s degree or equivalent and 2 years of related experience.
  • Experience interpreting legal documents.
  • Proficiency in creating and using complex spreadsheets.
  • Strong written and verbal communication skills.
  • High level of analytical ability.
  • Ability to use data tables/queries to meet deadlines.
  • Physical demand: sitting for long periods.
  • Prior experience with P‑Card or financial resource management (preferred).
