Faculty Affairs Assistant

The Faculty Affairs Assistant provides administrative and operational support for faculty-related processes at the college level. This role serves as a primary point of contact for faculty appointments, reappointments, promotions, tenure, leaves, evaluations, and compliance with institutional policies. The position ensures accurate recordkeeping, timely processing of actions, and effective coordination between the department, central faculty affairs, human resources, and academic leadership.

The assistant also offers executive-level support to the Senior Associate Dean of Faculty Success and Strategic Initiatives, managing the Associate Dean’s workflow, acting as a liaison with internal and external stakeholders, and anticipating the Dean’s needs while maintaining professionalism in high‑pressure situations.

Responsibilities
  • Faculty Appointments & Lifecycle Support (30%)
    • Coordinate faculty appointments, reappointments, promotions, tenure, and contract renewals.
    • Prepare and submit faculty action forms, letters, and supporting documentation.
    • Track faculty rank, status, term dates, and probationary timelines.
    • Serve as a resource to faculty and administrators regarding faculty affairs processes and deadlines.
    • Support faculty hiring by tracking progress in the UGA system.
    • Coordinate interview schedules and onboarding with college units.
    • Act as contact for hiring authorities on progress of searches.
  • Promotion & Tenure / Review Processes (30%)
    • Support annual, mid‑probationary, promotion, and tenure reviews.
    • Coordinate review schedules, committee materials, dossiers, and document routing.
    • Ensure confidentiality and compliance with governance policies.
  • Leaves, Workload, and Status Changes (10%)
    • Point of contact for faculty leave requests (research, medical, professional, etc.).
    • Track workload arrangements, FTE changes, and administrative assignments.
    • Enter affiliate appointments in OneUSG Connect.
    • Maintain documentation related to faculty status changes.
  • Data Management & Reporting (10%)
    • Maintain faculty records in institutional systems.
    • Generate reports on demographics, appointments, workloads, and reviews.
    • Prepare faculty data for AVMA survey.
  • Policy Compliance & Coordination (20%)
    • Interpret and apply institutional and departmental policies.
    • Coordinate with central Faculty Affairs, HR, Payroll, and the Provost’s Office.
    • Support accreditation, audits, and internal reporting.
  • Administrative & Operational Support (30%)
    • Assist in onboarding new faculty members.
    • Provide administrative support to faculty committees and shared governance groups.
    • Maintain calendars, deadlines, and communications.
    • Process travel reimbursements and authorizations; coordinate travel reservations.
    • Brief the Associate Dean on deadlines, provide research and insights.
    • Liaise between the Associate Dean’s Office and the UGA Faculty Affairs Office, College Associate Deans, and other stakeholders.
    • Organize program materials for new college programming and faculty development seminars.
    • Support strategic initiatives such as new undergraduate programs, rural health, and legislative outreach.
Qualifications
  • Minimum Qualifications
    :
    High school diploma or equivalent and two (2) years of related experience.
  • Preferred Qualifications

    • Effective oral and written communication skills.
    • Customer‑service orientation and initiative.
    • Discretion and confidentiality.
    • Organized and detail‑oriented implementation of practices.
    • Ability to learn new platforms and improve skill sets.
    • Working knowledge of professional office practices.
    • Proficiency with Microsoft Office (Word, Excel, PowerPoint).
    • Strong organizational, analytical, and time‑management skills; use of UGA systems such as travel, reimbursement, authorizations, and P+T submission.
