Construction Project Administrator

Medina, OH

Pride One Construction is currently searching for a full-time Construction Project Administrator to coordinate the administrative functions of construction projects from startup through close-out.

Qualifications

Required:

  • 3+ years of administrative experience, preferably within the construction industry
  • Strong understanding of construction project administration and documentation
  • Advanced proficiency with Microsoft Office Suite, particularly Outlook, Excel, Word, Teams, and Share Point
  • Comfortable learning and utilizing construction management software and other technology platforms
  • Exceptional organizational skills with the ability to manage multiple projects and deadlines simultaneously
  • Excellent written and verbal communication skills
  • Strong attention to detail and commitment to accuracy
  • Ability to work independently while collaborating effectively with multiple departments

Preferred:

  • Experience with construction contracts and contract administration
  • Knowledge of contractor registrations, licensing requirements, insurance certificates, and bonding processes
  • Experience supporting permit applications and utility coordination
  • Familiarity with project management software and document management systems
Responsibilities
  • Coordinate all administrative aspects of project start-up and close-out
  • Review project requirements and ensure all required insurance certificates, bonds, contractor registrations, licenses, and compliance documentation are current and in place before work begins
  • Set up and maintain project documentation and file structures, including SharePoint sites and project management platforms
  • Prepare and organize new projects within the company's Project Site platform
  • Coordinate project equipment, tools, and inventory to ensure project teams have the necessary resources
  • Assist with equipment tracking, inventory management, and project mobilization needs
  • Set up and maintain vendor information and project-specific documentation
  • Assist with permit applications, utility applications, and other jurisdictional requirements as needed
  • Maintain organized project records and ensure documentation remains current throughout the project lifecycle
  • Support Project Managers with administrative tasks including document management, contract processing, correspondence, and project reporting, including rebate management
  • Coordinate with internal departments to ensure timely project setup, purchasing, and close-out activities
  • Identify administrative issues proactively and help develop efficient solutions
  • Perform additional project administration duties as assigned
