Position Objective

Working under limited supervision, the Education Specialist will report directly to the Manager of Administrative Operations and is responsible for providing overall administrative management and coordination for the Master of Science in Anesthesia (MSA) program in Cleveland, Ohio. Duties include a limited variety of business-related functions: clinical onboarding, finance, marketing, budget, recruiting, event management, and human resources. Serve as backup office manager and collaborate with the manager of administrative operations to address clinical rotation responsibilities and other key administrative duties.

Function as a technical resource and advisor exercising discretion and independent judgment. Escalate requests for exceptions, unresolved operational issues, or policy conflicts to the manager of administrative operations and appropriate program leadership.

Essential Functions
  • Budget management: prepare and maintain program budget needs, including student supplies, faculty needs, office supplies, and program catering. Prepare requisitions, reimbursement requests, guest speaker honorariums, contractor agreements, office supplies orders, and travel arrangements. Track expenses and present a fiscal year budget plan. (20%)
  • Clinical rotations: manage local clinical rotations, student onboarding paperwork, hospital systems, compliance tracking, and communication with clinical instructors. Maintain onboarding and compliance trackers, resolve onboarding barriers, and support workflows for student requests and schedule updates. (20%)
  • Strategic planning: support the leadership team in implementing program strategy goals related to clinical rotation management, finance, accreditation reporting, recruitment, and quality improvement. Develop work plans, report milestones, maintain task lists, and coordinate with other MSA locations. (10%)
  • Recruitment: plan and coordinate local recruiting activities to increase enrollment, including high school and college outreach, career fairs, and event materials. Host and advise prospective students and parents during campus visits. Track contacts and outcomes. (10%)
  • Program events: manage local program events such as the white coat ceremony, orientation, open houses, and clinical instructor dinners. Identify target audiences, reserve venues, manage budgets, oversee execution, and maintain event checklists and reports. Participate in all Graduation Week activities. (10%)
  • Job shadowing: coordinate the MSA program's job shadowing program, including setting requirements, creating application and confidentiality agreements, scheduling shadowing requests, and enforcing program policies. (9%)
  • Human resources: interpret and advise faculty and staff on policies, onboard new faculty and staff, maintain onboarding checklists, coordinate paperwork for employment, terminations, and leaves, and keep an up-to-date access tracker. (6%)
Nonessential Functions

  • Marketing campaign: assist in establishing a comprehensive marketing campaign with the MSA enrollment manager, draft blogs, post social media, and maintain an effective online presence. (5%)
  • Policy development: develop and implement program policies and procedures in coordination with leadership, interpret school and university policies, and communicate changes to staff. (5%)
Contacts

Department:
Daily contact with the MSA manager of administrative operations, staff, leadership, and faculty to provide administrative guidance, interpret policy, and maintain workflow. Frequent contact with counterpart Education Specialists and Coordinators, Managers of Administrative Operations, and other staff at Washington D.C., Houston, and Austin to coordinate shared workflows and troubleshoot routine administrative and onboarding issues.

University:
Regular contact with Accounts Payable, Procurement and Distribution Service, School of Medicine, and central HR offices to complete job functions.

External:
Continuous contact with prospective students, visitors, and guests to answer inquiries, manage job shadowing functions, and resolve external customer issues.

Students:
Daily contact with prospective and MSA students to exchange information, advise, and instruct.

Supervisory Responsibilities

Supervise temporary staff and student employees.

Qualifications
  • Experience:

    3 or more years of administrative work experience; experience in a university or non‑profit setting preferred.
  • Education:

    Associate degree required;
    Bachelor's degree preferred.
Required Skills
  • Flexibility and ability to adapt to changing priorities and office needs.
  • Knowledge of financial spreadsheets and GAAP.
  • Strong organizational and interpersonal skills, both oral and written.
  • Strong writing skills for editing, policy development, and budget proposal submission.
