Position Summary

The Event Planner performs professional duties in planning, developing, coordinating, implementing, and managing events at the School of Law. This position will coordinate event logistics for conferences, meetings, meals, receptions, and various special events. The role collaborates with departments such as Law School Admissions and Student Affairs. Periodic work on evenings, weekends, and up to five state travel trips per year.

Minimum Qualifications

Bachelor’s degree in a related field or equivalent and 2 years of professional experience.

Duties/Responsibilities

Event Planning (35%)

  • Plan, implement, and coordinate events within the School of Law, prioritizing events from the Dean’s Office.
  • Assist with event budget preparation and monitoring to meet program needs.
  • Interface with Law School colleagues to execute event vision.
  • Conduct pre-event meetings, recommend options based on scope.
  • Liaise with catering vendors, staging staff, and other parties.
  • Reserve rooms and facilities, obtain food and beverage, schedule work orders, coordinate staff and volunteers, process registrations/RSVPs.
  • Prioritize tasks and complete within time frame.
  • Maintain and report timeline and action items.
  • Maintain inventory of event supplies, equipment, materials.

Event Execution (35%)

  • Work independently, overseeing events at designated locations, including set up and take down (may include weekends and evenings).
  • Act as primary day-of-event representative before, during, and after.
  • Ensure parties aware of arrival, departure, or event progressions.
  • Perform manual labor and skilled tasks, lifting heavy objects, stooping, bending.
  • Mitigate problems with minimal disruption.

Event Closeout (20%)

  • Create and maintain accurate business and event records and reports.
  • Recap event to identify improvement areas and note attendance, food, drinks required.
  • Pay vendors, speakers, and other bills, provide budget reconciliation within 30 days.

Other duties as needed (10%)
