We are seeking an organized, personable, and detail-oriented Healthcare Administrator / Medical Receptionist to manage our front desk operations and ensure a seamless experience for our patients. In this dual-function role, you will serve as the first point of contact for patients while maintaining administrative efficiency across scheduling, medical records management, insurance verification, and office coordination.
Key Responsibilities- Patient Check-In & Customer Service:
Greet patients warmly upon arrival, manage the check-in/check-out process, verify identity details, and collect patient copays, deductibles, or outstanding balances. - Appointment Scheduling:
Coordinate patient appointments, follow-up visits, and specialist referrals in person, via phone, or through the electronic health record (EHR) portal. - Insurance Verification & Billing Support:
Confirm patient insurance coverage, obtain necessary prior authorizations, and assist the billing team by entering accurate demographic and coverage information into the portal. - Administrative & Records Management:
Maintain patient records in accordance with HIPAA regulations, answer multi-line phone systems, handle patient inquiries, and sort clinic correspondence. - Clinic Operations Coordination:
Maintain neatness in the reception area, order medical and office supplies as needed, and assist clinical staff with administrative support to keep daily appointments running on schedule.
- Experience:
1+ years of administrative, front desk, or receptionist experience within a medical clinic, hospital, dental office, or healthcare setting. - HIPAA Compliance:
Strong working knowledge of patient ity standards and HIPAA regulations. - EHR/EMR Software:
Familiarity with Electronic Health Record systems (e.g., Epic, Athenahealth, Cerner, eClinicalWorks, or Kareo). - Communication & Interpersonal
Skills:
Excellent verbal and written communication abilities with a compassionate, patient-centered approach to care. - Multitasking Ability:
Capable of prioritizing tasks in a high-volume, fast-paced clinical environment while maintaining strict accuracy.
- Medical terminology coursework or relevant medical administrative certification (e.g., CMAA, RMA).
- Bilingual capabilities (e.g., English/Spanish) to assist diverse patient populations.
- Prior experience handling prior authorizations or medical insurance claims processing.
