Heinzerling Community is seeking a detail-oriented, dependable, and organized Human Resources & Payroll Coordinator to support our HR and payroll operations. This position plays a critical role in ensuring the accuracy of employee records, payroll processing, and HR compliance while providing exceptional service to employees throughout their employment journey.
The ideal candidate has a strong eye for detail, enjoys auditing and maintaining accurate records, values confidentiality, and thrives in a fast-paced, collaborative environment.
Essential Responsibilities Payroll & Auditing- Reviewing timecards for up to 500 employees
- Assist with the preparation, processing, and auditing of payroll to ensure accuracy and timely completion.
- Review payroll reports and employee data for accuracy, identifying and resolving discrepancies.
- Audit employee records and HR documentation to ensure compliance with organizational policies and applicable employment laws.
- Support internal HR and payroll audits, compliance reviews, and reporting requirements.
- Maintain accurate payroll and personnel records within ADP and other HR systems.
- Maintain confidential employee files and electronic personnel records.
- Process employee data changes, including new hires, transfers, status changes, and terminations.
- Assemble, review, and audit new hire paperwork, including I-9s, tax forms, direct deposit information, and other employment documents.
- Conduct background checks, reference checks, and exclusion screenings.
- Create and issue employee identification badges.
- Respond to employee and applicant questions regarding standard HR and payroll processes.
- Assist with surveys, reporting, and regulatory compliance activities.
- Support employee recognition programs and other HR initiatives.
- Participate in new hire orientation and onboarding activities.
- Maintain the highest level of confidentiality while handling sensitive employee information.
- Exceptional attention to detail with a strong focus on accuracy and quality.
- Experience reviewing, auditing, and maintaining confidential records.
- Strong organizational and time management skills with the ability to prioritize multiple tasks.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office, including Word, Excel, and Outlook.
- Ability to maintain confidentiality and exercise sound judgment.
- Collaborative, dependable, and customer-service oriented.
- Bachelor's degree in Human Resources, Business Administration, Accounting, or a related field, or equivalent experience preferred.
- Previous Human Resources, Payroll, or Administrative experience preferred.
- Experience using ADP or another HRIS/payroll system.
- Knowledge of employment laws, payroll processes, and HR compliance requirements.
