Work schedule:
Monday–Friday, 8:00 am–5:00 pm; some after‑hours or weekend work may be required.
- Bachelor’s degree in a related field or equivalent, plus 2 years of professional experience.
- Project management and/or program coordination experience in an academic environment.
- Agency grant or contract project management experience, particularly with Department of Defense, Department of Homeland Security, Department of Energy, Department of Transportation, or similar government agency projects.
- Experience managing multiple programs, projects, and/or events simultaneously.
- Plan to receive or hold the Project Management Professional (PMP) certification.
- Extensive knowledge of grant preparation, coordination, and implementation at an academic institution.
- Excellent verbal and written communication skills.
- Strong customer‑service orientation and ability to work independently and collaboratively with multiple partners.
- Proficiency with project‑management software and tools.
- Provide project management and coordination services for faculty projects during the period of performance, creating and maintaining custom project timelines, planning documents, and project trackers.
- Serve as the administrative point of contact for project activities and routinely provide status updates to UGARI leadership.
- Coordinate telephone and written correspondence, set up in‑person and online meetings, and facilitate non‑technical information meetings with sponsors, stakeholders, and partners.
- Prepare and submit documentation, including sponsor requirements, financial reports, compliance reviews, and adherence to security, reporting, and training requirements.
- Maintain files and documents in designated digital locations throughout the project life‑cycle and coordinate project close‑out activities.
- Research federally sponsored grant programs and create proposal plans, timelines, checklists, and required forms with the UGARI team.
- Lead and facilitate proposal development meetings, vendor coordination, and event organization for external partners.
- Provide guidance on policy changes, attend internal and external meetings, and participate in professional development activities.
- Standard office environment; sitting for extended periods.
- Travel to meetings both on and off‑campus, driving as needed.
- Walking up multiple flights of stairs may be required.
