Non-Exempt Position Summary The Food Program Coordinator is a working leadership position responsible for coordinating, supervising, and ensuring compliance of YMCA of Madison County food access programs, including CACFP and the Summer Food Service Program (SFSP).This role ensures all food distribution sites operate in full compliance with USDA, CACFP, and Summer Food Program regulations while delivering safe, respectful, and mission-driven service to children and families.
The Coordinator provides direct oversight of distribution logistics, staff and volunteer scheduling, documentation accuracy, and site communication.
This is not solely an administrative role. The Coordinator maintains an active presence at food distribution sites, supporting staff, monitoring compliance, and representing the YMCA as a visible community leader.
Essential Responsibilities Food Program Leadership & Site Oversight Coordinate daily operations of community meal distribution sites.
Ensure all food programs operate in full compliance with CACFP, SFSP, USDA Civil Rights requirements, and YMCA standards.
Maintain a regular on-site presence to monitor food safety, service quality, and documentation accuracy.
Support safe, orderly, and respectful meal service environments.
Ensure proper food holding temperatures, portion control, and meal pattern compliance.
Assist with special distributions, expanded meal access efforts, and new site launches.
Ordering food and supplies to maintain effect and efficient pipe-line of food for all distribution sites.
Coordinating with Prairie Farms for milk ordering and distribution.
Compliance & Documentation Management Ensure accurate completion of required CACFP/SFSP documentation including:
Meal count sheets
Delivery logs Temperature logs Attendance records
Site monitoring forms
Review site paperwork for accuracy and completeness before submission.
Support monitoring visits, audits, and compliance reviews.
Maintain organized and secure program records.
Immediately address discrepancies, shortages, or compliance concerns.
Maintain confidentiality of participant and family information.
Staff & Volunteer Coordination Assist with recruitment, onboarding, and scheduling of Food Distribution Specialists and volunteers.
Provide day-to-day leadership and coaching at distribution sites.
Train staff and volunteers on proper food handling, documentation, civil rights compliance, and YMCA expectations.
Promote reliability, professionalism, and teamwork across all food program staff.
Support staff performance feedback and accountability processes in partnership with the Director of Food Program.
Site & Partner Communication Serve as liaison between YMCA and community distribution sites (schools, churches, community centers, partner organizations).Communicate distribution schedules, procedural updates, and regulatory changes.
Support strong working relationships with site partners.
Assist in problem-solving operational or logistical challenges.
Food Distribution Operations Support receiving, inspecting, staging, and transporting food deliveries.
Coordinate site supply inventory and distribution materials.
Assist with loading and unloading food boxes and coolers (up to approximately 30 lbs).Ensure distribution areas are clean, organized, and compliant with health and safety standards.

Minimum Qualifications Education & Experience High School diploma required;
Associate or Bachelor’s degree preferred.
