We are seeking a Project Coordinator / Design Support Specialist to join our team. This is a key support role responsible for coordinating projects from design development through installation and closeout.
This position is ideal for someone with a few years of experience who is highly organized, detail-driven, and looking for a stable, ownership-focused role within a fast-paced commercial interiors environment.
Position OverviewThe Project Coordinator / Design Support Specialist plays a critical role in supporting project execution across multiple phases, including coordination, documentation, procurement support, and installation oversight.
This role works closely with the design, project management, and installation teams to ensure projects are delivered accurately, efficiently, and on schedule.
This is a hands‑on position with strong involvement in both office coordination and on‑site installation support.
Project Coordination- Manage day-to-day project coordination from design development through installation and closeout
- Track orders, lead times, and deliveries to ensure alignment with project schedules
- Maintain clear and consistent communication with internal team members to keep projects moving forward
- Support overall project flow and assist in keeping timelines and deliverables on track
- Coordinate project installations, including scheduling, logistics, and preparation
- Serve as on‑site representative during installations to ensure quality and alignment with project scope
- Act as a point of contact between installers, vendors, and internal team members during field execution
- Identify, document, and manage punch list items through completion
- Proactively address field issues and coordinate solutions with the project team
- Assist with furniture plans, renderings, and client presentation materials
- Prepare installation documentation, including drawings and bills of materials
- Support finish selections, specifications, and overall project documentation
- Coordinate with manufacturers and vendors on quotes, acknowledgments, lead times, and order status
- Review order acknowledgments (OAs) for accuracy and assist in resolving discrepancies
- Support management of damages, shortages, and substitutions to ensure timely resolution
- Assist with sample coordination and finish approvals
- Bachelor’s degree in Interior Design or related field preferred
- 2–5+ years of experience in commercial interiors, contract furniture, construction coordination, or related field
- Experience working with furniture specifications, order coordination, or installation support preferred
- Proficiency in Adobe Creative Suite, CET, AutoCAD, or similar tools preferred
- Strong organizational, communication, and problem‑solving skills
- Ability to manage multiple projects while maintaining attention to detail
- Detail‑oriented with a high level of accuracy
- Highly organized and able to manage multiple priorities
- Proactive and confident in communication and follow‑up
- Comfortable taking ownership of tasks and driving them to completion
- Solutions‑oriented, especially when addressing field or installation challenges
- Collaborative and team‑oriented with a professional approach
