Job Summary

This entry‑level position is responsible for processing all releases of information (ROI), specifically medical record requests, in a timely and efficient manner, ensuring accuracy, and providing customers with the highest quality product and customer service. The Associate must safeguard patient privacy, ensuring that only authorized individuals have access to patient’s medical information and that all releases comply with the request, authorization, company policy and HIPAA regulations.

  • Processing medical records and handling calls from patients, insurance companies, and attorneys to provide status updates
  • Documenting information on multiple platforms using two computer monitors
  • Preferred experience in customer service, data entry, and release of information

You Will
  • Receive and process requests for patient health information in accordance with company policies and procedures.
  • Maintain confidentiality and security of all privileged information.
  • Develop working knowledge of company and facility software.
  • Adhere to the company’s code of conduct and customer facility policies.
  • Inform manager of work progress, site difficulties, and/or fluctuating volumes.
  • Assist with additional duties as required.
  • Apply medical privacy regulations to guard against unauthorized disclosure.
  • Manage patient health records, safeguard them, and ensure HIPAA compliance.
  • Prepare new patient charts, gathering documents from paper or electronic sources.
  • Assemble medical records in standard order and verify accuracy and completeness.
  • Create digital images of paperwork for the electronic medical record.
  • Respond to requests for patient records, both internally and from external sources, retrieving and transmitting them appropriately.
  • Answer inbound/outbound calls.
  • Assist with patient walk‑ins.
  • Handle administrative duties such as faxes, opening mail, and data entry.
  • Meet productivity expectations as outlined at specific sites.
  • Schedule pick‑ups when required.
  • Perform other duties as assigned.
What You Will Bring to the Table
  • High school diploma or GED
  • Minimum age 18 years
  • Ability to commute between locations as needed.
  • Availability for overtime during peak seasons.
  • Basic computer proficiency.
  • Comfortable using phones, fax machines, printers, and general office equipment.
  • Professional verbal and written communication skills in English.
Bonus Points If
  • Experience in a healthcare environment.
  • Previous production or metric‑based work experience.
  • In‑person customer service experience.
  • Ability to build relationships with on‑site clients and customers.
  • Comfortable proposing new ideas, process improvements, and feedback to stakeholders.

Pay Range
Estimated base pay per hour: $17.13—$20.92 USD.

To ensure the safety of patients and staff, many of our clients require post‑offer health screenings and proof of or completion of vaccinations such as flu shot, Tdap, COVID‑19, etc. Exemptions may be reviewed on a case‑by‑case basis.
