Position Summary

Assists the Director in the organization and maintains operational routines in the Special Education Department. Has primary responsibility for essential record keeping and in generation of essential reports.

Salary

Compensation is commensurate with qualifications and experience. The hourly pay range for this classified position is $23.61–$25.69.

Position Responsibilities
  • Records Management:
    Manage, track, and file all confidential student and department records in compliance with FERPA and HIPAA; oversee all in-district and out-of-district records requests and transfers.
  • Compliance Reporting:
    Responsible for compiling, updating, and submitting all district and Colorado Department of Education (CDE) reports for IDEA and ECEA compliance.
  • Database Oversight:
    Utilize special education databases and software (e.g., Enrich) to monitor IEP compliance, generate data reports, and assist case managers with training and support.
  • Financial & Purchasing:
    Monitor department budgets and generate requisitions.
  • Office Operations:
    Organize, schedule, and coordinate daily office routines, department functions, staff appointments, conferences, and interviews.
  • Administrative Support:
    Serve as the primary liaison between the Special Education Director and staff; assist administrators during all phases of formal Compliance Reviews.
  • Customer Service:
    Act as the first point of contact for the department; answer phones, respond to parent and community inquiries, and handle concerns or complaints.
  • Professional Development & Logistics:
    Communicate with vendors and coordinate logistics for staff professional development and training.
  • Inventory Control:
    Manage and maintain the department inventory of materials and supplies.
  • Professional Development:
    Attend weekly CDE webinars, district secretary meetings, and relevant trainings to stay current on district objectives, policies, and state reporting requirements.

Technical Skills, Knowledge, and Abilities
  • Strong oral and written English communication skills, including professional proofreading capabilities.
  • Exceptional interpersonal skills; ability to interact pleasantly, patiently, and cooperatively with a diverse community of students, staff, and families.
  • Ability to work effectively with individuals from diverse ethnic, cultural, and educational backgrounds.
  • Proficiency in computer operations and modern office practices.
  • Proven ability to maintain strict confidentiality in all aspects of the role (adhering to FERPA/HIPAA guidelines).
  • Excellent organizational skills and the ability to manage multiple priorities and tasks effectively, even with frequent interruptions.
  • Self-motivated with a high attention to detail and a proven flexibility to adapt to changing environments or school district objectives.
  • A genuine interest in supporting the education and well-being of youth in a public school setting.
Qualifications
  • High school diploma or equivalent plus courses in office, secretarial, word processing and computer skills.
  • More than one year of clerical and/or secretarial experience.
  • Experience in a school environment is preferred.
  • Experience in Special Education is preferred.
