The Hotel Reservations Coordinator is responsible for managing the hotel’s reservations department while providing leadership and operational support to the Front Office team. This role ensures exceptional guest service, maximizes room revenue, maintains reservation accuracy, and provides relief coverage for the Front Office Manager during scheduled absences.
Key Responsibilities Reservations- Manage all individual and group reservations.
- Monitor room inventory, rates, and availability.
- Ensure reservation accuracy in the Property Management System (PMS).
- Process cancellations, modifications, and special requests.
- Coordinate room blocks with Sales and Events.
- Monitor online travel agencies (OTAs) and third-party bookings.
- Respond to reservation inquiries by phone, email, and online channels.
- Assist in maximizing occupancy and revenue opportunities.
- Provide relief coverage for the Front Office Manager.
- Supervise Front Desk Agents during assigned shifts.
- Assist with scheduling and payroll preparation.
- Train and coach front desk employees.
- Resolve guest concerns professionally and efficiently.
- Ensure hotel policies and procedures are followed.
- Assist with daily operations, including check-ins, check-outs, cash handling, and guest services.
- Assist with housekeeping morning reports and inspection of rooms
- Support a positive, guest-focused team environment.
- Conduct shift briefings when required.
- Monitor service standards and guest satisfaction.
- Assist with onboarding and training new employees.
- Collaborate with Housekeeping, Maintenance, and Sales to ensure smooth operations.
- Prepare daily and weekly reports.
- Monitor reservation pace and occupancy forecasts.
- Assist with monthly inventory and operational audits.
- Maintain departmental files and documentation.
- Support budgeting and departmental goals.
- Previous hotel reservations or front desk experience preferred.
- Supervisory or leadership experience is an asset.
- Experience with a Property Management System (PMS) preferred.
- Strong organizational and time-management skills.
- Excellent verbal and written communication.
- Ability to multitask in a fast-paced environment.
- Proficient in Microsoft Office.
- Flexible to work evenings, weekends, and holidays as required.
