Athletic Event Coordinator

Campus: CR Department Athletics.

General Description

The Athletic Event Coordinator is responsible for field preparations, event set‑ups, concurrent event management, and event take‑down. They supervise and manage games/events, maintain regular communication with the Director of Athletics, manage critical incidents as needed, and perform special duties as assigned. The role requires flexibility for evening shifts, weekends, and holidays based on event schedules.

Responsibilities
  • Serve as the primary on‑site administrator before, during, and after intercollegiate athletic events with overall responsibility for the events.
  • Manage all communication on game days with facility staff, coaching staff, visiting teams, officials, and security.
  • Work with public safety, emergency responders, facility staff, event organizers, and custodial staff to ensure effective and professional event management.
  • Ensure compliance with NJCAA, Region XIX, and UCNJ regulations.
  • Handle hospitality management for visiting teams, including greeting, locker‑room setup, video hookup, and fan seating areas.
  • Remain visible throughout all events, reporting any hostile or out‑of‑control fans.
  • Respond to questions or requests from custodians, athletic trainers, and other personnel as required.
  • Communicate any game disqualifications or ejections with the Athletic Director at the close of the venue via phone, email, or written report.
  • Perform other duties as assigned.
Education Requirements

Associate degree required.

Experience
  • Experience with an athletic program, either as a player or coach, is required.
  • First Aid and CPR certification required; training available.
  • Previous event management experience preferred.

  • Awareness of safety concerns and risk management.

Physical Demands and Work Environment

The position is normally performed in an outside environment based on the activity scheduled. It requires occasional lifting or moving up to 50 pounds, exposure to physical risk, and walking or sitting for extended periods. The employee may be exposed to various weather conditions (heat, cold, humidity, rain, sunlight) and may need to travel.

Salary

USD 20 per hour.

Terms of Employment

Part‑time hours not to exceed 25 per week. Flexible schedule to meet department needs, with requirement for evening, weekend, and extended hours. Required travel on short notice to on‑ and off‑campus sites. Primary residency in New Jersey required within one year of appointment, unless an exemption applies.
