Role Overview

District Superuser for the Pay Wise application.

Role overview:
This role is the Pay Wise system expert for the district.

  • Independently determines the need for training for district employees in regard to coding, processing, invoicing, requisition creation, general Pay Wise system use and PS-Fin Integration
  • Develops and conducts Pay Wise training in the District
  • District Travel Coordinator and Trainer
  • Advises and trains district employees on booking and requesting travel reimbursement based on expert knowledge of IDOA's extensive travel policies and procedures.
  • Resolves issues stemming from complex travel situations and/or emergencies in cooperation with Central Office Travel Coordinator and IDOA Travel team.
  • Employee Reimbursement Coordinator
  • Monitors all employee reimbursements for program compliance
  • Authorizes transactions in Pay Wise or Peoplesoft.
  • Petty Cash Custodian. Sole responsibility for safeguarding the petty cash, authorizing reimbursements and creating petty cash
  • Creates reconciliations for the Accounting Team.
Salary Statement

The salary for this position traditionally starts at $42,900.00 but may be commensurate with education or work experience.

A Day In The Life

The essential functions of this role are as follows:

  • Advise the supervisor of the status of all accounts.
  • Assist management in the preparation of agency or program area budget requests.
  • Develop and recommend implementation of new accounting methods and procedures pertaining to this positions’ area of responsibility.
  • Advise program staff on accounting matters relating to specific program funding.
  • Assist in the development and maintenance of general policies for a fiscal program.
  • Coordinate use of the computerized accounting system for the program area.
  • Certify the accuracy of financial records and accounts.
  • Analyze and interprets financial statements and reports.
  • Control the flow of appropriated funds.
  • Reconcile complex discrepancies between accounts.
  • Interact with, and respond to, state and federal audit representatives.
  • Make necessary adjustments to close books.
