Administrative Department Office Manager

Primary

Purpose:

Organize and manage the routine work activities of an administrative department office and provide clerical services to the department head and other staff members.

Qualifications:

  • Education/Certification:

    High School diploma or GED
  • Special Knowledge/

    Skills:

    Proficient skills in keyboarding, word processing, and file maintenance
  • Effective communication and interpersonal skills
  • Basic math skills
  • Ability to use personal computers and software to develop spreadsheets, databases, and word processing
  • Follow good business practices and provide detailed and accurate work
  • Have a knowledge of police operations
  • Ability to work directly with the Chief of Police and to keep confidential all discussed items
  • Ability to conduct instruction and/or attend meetings and professional development, and make and receive phone calls in a virtual or remote workplace environment
  • Telecommunicator's License
  • Property room certification
  • Proficiency in Skyward

Experience:

Two years' clerical experience, preferably in a public education environment

Major

Responsibilities and Duties:

  • Records, Reports, and Correspondence
  • Prepare correspondence, memorandums, forms, requisitions, and reports for the Crowley ISD Police department using personal computer.
  • Participate in meetings discussing various programs and deliverables for the department, take notes and provide meeting minutes as requested.
  • Compile pertinent data as needed when preparing various state and local reports.
  • Maintain physical and computerized departmental files.
  • Have general knowledge of Eduphoria Facilities and Events, Helpdesk, and Technology needs.
  • Assist with updating and preparing Administrative Regulations relating to Crowley ISD Police department.
  • Assist with preparation of weekly and monthly agendas for Administrator meetings.
  • Assist with necessary documentation, reports, scheduling, and audit preparation relating to district and campus safety and security.
  • Collect and enter invoices, requisitions and purchase orders.
  • Accounting
  • Perform routine bookkeeping tasks, including simple arithmetic operations, for the department.
  • Assist with the preparation of purchase orders and payment authorizations.
  • Maintain the Crowley ISD Police department budget.
  • Reception and Phones
  • Receive and direct incoming calls, take reliable messages, and route to appropriate staff.
  • Assist public, staff, and students as needed.
  • Assist with preparation of materials for mailing, including preparing labels, stuffing envelopes, etc.
  • Provide clerical assistance as needed.
  • Other
  • Answer incoming calls and handle questions from public, outside agencies, staff and take reliable messages.
  • Greet visitors and respond to routine inquiries from staff and public; refer appropriate inquiries or problems to the Chief of Police.
  • Maintain a schedule of appointments and meetings for the Chief of Police and Police department staff.
  • Make travel arrangements for department staff.
  • Receive, sort, and distribute mail and other documents.
  • Maintain confidentiality of information.
  • Maintain computerized files using personal computer including reports.
  • Assist in maintaining office machines for the department.
  • Monitor District Emergency Radio System and respond when necessary.
  • Maintain office machines and order office supplies for the department.
  • Maintain appropriate business hours, professional dress, language and behavior in the workplace.
  • Maintain professional relationship with staff members and administrators.
  • Assist with developing and maintaining Emergency Operations Procedures for district campuses and facilities.
  • Serve on the District Campus Response Team, Administration Safety Team, and District Safety Team.
  • Monitor Security cameras for Central Administration and other school campuses and report concerns to the Chief of Police or the Director of District Safety and Security.
  • Assist in preparing and photographing District employees for .
  • Assist in processing and overseeing Security Proximity Key Cards for District.
  • Perform all duties as assigned.
  • Successfully advances district initiatives.
  • Any other duties the Chief of Police may assign.

Starting Salary: $40,065 (2025-26 Compensation Plan)

Salary determination will be based on verified relevant work experience. Salary will be adjusted to the start date.
