Administrative Assistant – Clerical entry level position (09.25.25) at HPC International, Inc., Crown Point, IN.
ResponsibilitiesThe HPC Education Manager™ division manages education expense requests for employees of hospitals and other health‑care organizations. As an EM Admin Assistant you will:
- Assist Account Rep(s) with non‑book related educational expense requests (association memberships, subscriptions, conference fees, continuing education courses, CME/CE/PD workshops).
- Review new requests and acknowledge receipt via email, gathering missing details and entering manual requests into the online portal.
- Communicate with requestors by email and phone to provide progress updates.
- Secure pre‑approval for each request from the requestor’s supervisor, ensuring the expense is eligible for coverage.
- Upload pre‑approval and denial documents, payment confirmations, and receipts into the portal.
- Process payment to vendors for pre‑approved expenses.
- Assist with enrollment for conference and continuing education courses.
- Maintain an average turnaround time of 1–2 weeks for all expense requests.
- Complete weekly reconciliation using Microsoft Excel to match portal balances with bank balances.
- Mentor and train new EM Administrative Assistants as part of the peer‑mentoring program.
- Exceptional attention to detail and organizational skills.
- Strong mathematical and analytical abilities.

- Self‑motivated, enthusiastic, and positive attitude.
- Excellent verbal and written communication.
- Comfortable interacting directly with customers and vendors.
- Flexible, capable of multitasking in a fast‑paced environment.
- Proactive follow‑up and prioritization skills.
- High standards of conduct, integrity, and good judgment.
- High School Diploma or equivalent.
- Some college education preferred.
- 4+ years of customer service and/or accounting experience in a B2B environment.
- Proficiency with Microsoft Office (Excel, Word, PowerPoint).
